The Role: Jr. Logistics Campaign & UFO Coordinator
Availability: Full-time with the ability to work mornings, afternoons, and occasional overtime, holidays, and weekends, especially during busy seasons and product launches.
The Jr. Logistics Campaign & UFO Coordinator, reporting to their supervisor and Freight Lead, is responsible for efficiently transporting materials to customers, meeting service requirements while optimizing costs. This role emphasizes delivering and maintaining a high level of service to customers through proactive communication and transparency throughout the transportation process. Working with the distribution team, the Jr. Logistics Campaign/UFO Coordinator will help lead and execute transportation projects to improve operational performance and meet customer service levels. As a Jr. Logistics Campaign & UFO Coordinator, you will incorporate LUSH’s Leadership Practices into all aspects of your work. What you do (Responsibilities) :
Manage all incoming and outgoing UFO requests throughout their lifecycle
Maintain communication with and fulfill special order requests from other departments within the business
Proficient use and knowledge of UPS, Canada Post, and FedEx shipping systems
Liaising with distribution systems, inventory, and systems support teams when needed
Ensuring shipping deadlines will be achieved and providing accurate estimates/time frames for business unit send-outs
Picking and managing all inventory required for send-outs
Coordinating the packaging and prepping of all products and orders
Verifying address lists for CSV upload files
Processing and printing all shipping info/labels and customs documentation through UPS or other desired carriers
Problem-solving shipping deadlines and timing of package arrivals to meet business needs and following up on lost/late packages
Provide meaningful commentary to customers and stakeholders concerning the Campaign / UFO
Support in meeting organization and leading huddles
Properly update the Teams tracker and reference it for information as needed
Log and communicate tracking numbers to Lush business units when sending materials or other small-pack items via small parcel (single/mass shipments)
Working with the inventory team to solve inventory issues
Working with Procurement and Procurement Support to address any stock shortages upon material receipt before assets begin shipping
Completing delegated tasks on time
Physically receive Purchase Orders and make them available to be stocked in the pick locations (Campaigns Only)
Flexibility to support other parts of the business, including Distribution Associate roles
Administrative & Other Functions :
Have a full understanding of the AX Sales order process
Establish SOPs to ensure operations are standardized
Execute multiple AX functions, like Purchase Orders, Movement Journals, and Transfer Orders
Keep track of allocation and campaign fulfillment on UFO Dashboard and Allocation Tracker
Provide Add-ons to Distro to add to stores on behalf of stakeholders for both coasts
Print pick sheets to assist with UFO requests
Review the shipping schedule against requests and highlight any potential issues with freight and distribution
Partner with the Item set-up and IT team to troubleshoot issues in AX
Support campaign initiatives and expedites as needed
Provide meaningful commentary to customers and stakeholders relating to transportation results
Strong organizational skills in regard to archiving data and providing the data to stakeholders on request
Attend strategic meetings as requested
Provide daily and weekly reports on all aspects related to systems
Ready to investigate issues on behalf of the Finance or Customs team to be able to provide meaningful insight
Key Results :
Work collaboratively with other areas of the business
Proactively identify solutions to potential problems to guarantee service level agreements are achieved
Responsible for hitting key performance indicators (KPI), including on-time delivery scores and parcel spend
You bring the following QUALIFICATIONS:
Required :
Current Lush employee
Has held current role for a minimum of 1 year
Able to perform all required Distribution Associate duties
Able to do physical work for 8-hour shifts, on your feet, and lift 50 pounds
Capable of physical activities such as standing for long durations, bending down, pulling, and pushing
Able to navigate email and MS Office suite and Google programs (i.e., Sheets, Chat, Meet)
Basic proficiency with MS Office, specifically Microsoft Excel
Basic proficiency with ERP systems (such as Microsoft AX)
Accustomed to working in a highly seasonal, high-pressure work environment
Able to effectively communicate with counterparts in other departments and facilities
Good organizational skills as well as a strong ability to prioritize and delegate
Able to work individually as well as in a team environment
Able to organize multiple tasks at the same time and establish priorities
Able to remain motivated and engaged in work
Confident with basic mathematics, ability to count, including addition and subtraction
Reliable, consistent attendance, punctual, and dependable
Comfortable with reading, writing, and speaking English in order to communicate with peers and leadership on all platforms (i.e., in person, via email, via Google/Teams chat)
Comfortable providing and receiving feedback
Flexible to work all shifts and some holidays, overtime, and weekends
Commitment to abide by and oversee health & safety regulations
Commitment to abide by and oversee our quality and good manufacturing practices
Comfortable safely navigating MHE on a regular basis
Excellent problem-solving and communication skills
Preferred :
Previous experience processing shipments through UPS, Canada Post, FedEx
Previous experience as a Dispatcher (seasonally or core)
