Annual Salary: £40,000 - £45,000 Location: NW9, London Job Type: Full-time

Join a leading company known for its high standards and excellence across various industries. We are seeking a PA to provide high-level executive support to our Production Directors. This role is ideal for someone who is firm, can stand their own ground, and knows when to say no, ensuring the smooth coordination of daily operations and strategic priorities in a fast-paced environment.

Day-to-day of the role:

  • Manage complex calendars and schedules for 3 Production Directors.
  • Handle correspondence, emails, and phone calls on behalf of the directors.
  • Maintain confidential files and sensitive information.
  • Coordinate communication between various departments including production, operations, finance, and HR.
  • Draft professional communications and announcements.
  • Liaise with teams, suppliers, contractors, and external stakeholders.
  • Provide general HR administrative support as required.
  • Process Front Sheets and assist in raising legal contracts for upcoming projects.
  • Support the setup and management of offices, including issuing access cards, ensuring correct labelling, and preparing offices to meet client requirements.
  • Maintain accurate records and ensure internal systems are up to date with client information.
  • Order stationary supplies and maintain an organized stockroom.
  • Carry out general administrative duties such as filing, archiving, and scanning.
  • Respond to requests for the replenishment of consumable supplies.
  • Assist with the management and organisation of supplies inventory.
  • Process cash sales as required.
  • Provide holiday/sickness cover for Receptionists.

Required Skills & Qualifications:

  • Minimum 5 years of experience as a PA, Executive Assistant, or Production Coordinator, ideally supporting senior directors.
  • Demonstrated ability to be assertive and firm, with the capacity to stand one's ground and assertively say no when necessary.
  • Basic HR knowledge and experience.
  • Excellent diary and schedule management skills.
  • Strong organisational and multitasking abilities, with excellent attention to detail.
  • Exceptional written and verbal communication skills.
  • Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) with good numerical & literacy skills.
  • Ability to work effectively under pressure and manage shifting priorities.
  • High level of discretion, professionalism, and confidentiality.
  • Positive attitude with strong interpersonal skills and a good sense of humour.
