Travel & Accommodation Officer
The Travel & Accommodation Officer coordinates and organizes the travel and accommodation matters of the company's employees, including travel to and from the site, business trips, shift changes, and vacation travel.
Working closely with the HR Manager and the HR team, the position maintains contact with travel agencies, hotels, and transport companies to ensure that travel and accommodation services are efficient, cost-effective, and well-organized.
The Travel & Accommodation Officer serves as the primary point of contact for employees regarding travel and accommodation matters and plays a key role in maintaining accurate records and keeping related expenses within budget.
- Coordination of Employee Travel
Coordinate the organization of domestic and international travel for company employees, including flights and transfers.
Organize travel related to shift changes, annual leave, business trips, and other approved travels.
Prepare itineraries and monitor schedule changes, delays, or cancellations.
Maintain contact with travel agencies, airlines, and transport companies.
- Coordination of Employee Accommodation
Coordinate accommodation bookings, including hotels and other approved accommodations, in accordance with company policy.
Manage check-ins, check-outs, extensions, cancellations, and booking modifications.
Maintain contact with hotels and other accommodation providers and resolve issues raised by employees.
Maintain the current booking file and accurate accommodation records.
- Coordination of Employee Arrival and Departure Processes
Organize the necessary travel and accommodation for employees prior to their arrival at or departure from the site.
Synchronize bookings with agreed departure dates, shift schedules, and approved timetables.
Adjust arrangements according to shift schedules, vacations, or transfer changes.
Maintain clear and up-to-date records of each employee's site arrival and departure.
- Oversight of Employee Travel Requests and Expenses
Process travel requests and verify entitlements and approvals prior to booking.
Ensure that arrangements are cost-effective and comply with company policy.
Verify the accuracy of invoices and resolve discrepancies with suppliers and the finance department.
Maintain expense records and prepare expense reports for the HR Manager.
- Employee Support
Act as the primary point of contact for employees regarding travel and accommodation matters.
Respond promptly to inquiries and assist in cases of changes, cancellations, and disruptions.
Communicate arrangements and changes clearly and in a timely manner.
Maintain a professional and service-oriented approach with employees.
- Reporting and Record Keeping
Maintain accurate records of flight bookings, home leave travel, and accommodation bookings.
Update site arrival and departure records.
Prepare regular travel and accommodation reports for the HR Manager.
A Bachelor's degree in Business Administration, Tourism, Hospitality, Logistics, Human Resources, or a related field is preferred.
At least 3 years of experience in travel coordination, accommodation administration, HR administration, transportation, or a similar position.
Ability to manage multiple travel arrangements simultaneously and work under pressure.
Good knowledge of Microsoft Office, specifically Excel and Outlook.
Good written and verbal English skills.
