Senior Procurement Officer / Procurement Supervisor (Good English skills)
- Procure materials/equipment for branches and headquarters, such as consumables, service equipment, office supplies, cleaning tools, PPE, etc.
- Procure Maintenance spare parts and coordinate with the maintenance/OPS team to identify correct specifications.
- Coordinate with branches to collect Purchase Requisition, verify necessity, and prioritize urgency.
- Prepare procurement documents such as PR/PO, Quotation Comparison, and follow up on delivery/Goods Receipt (GR) to ensure accuracy and completeness.
- Select, evaluate, and develop Suppliers/contractors (quality, price, delivery time, credit terms).
- Negotiate prices, payment terms, SLA/warranty, and after-sales service conditions.
- Maintain a Supplier database and conduct Vendor Performance Reviews to continuously screen/upgrade partners.
- Manage procurement costs appropriately according to the budget and propose systematic Cost saving initiatives.
- Control procurement to comply with company policies, such as approval limits, price comparison procedures, and document filing for auditing.
- Manage supply risks such as stockouts, raw material/spare parts shortages, or quality failures, and prepare contingency plans (Second source).
- Work with the Warehouse/OPS Center team to determine Min-Max / Reorder point for key products and materials.
- Plan purchasing to align with actual usage, reducing dead stock/expired stock and minimizing stockouts that affect service.
- Verify the accuracy of goods receipt and supporting documents to ensure correct stock reconciliation.
- Plan and execute procurement for new branch openings, such as FF&E, decoration work, operational equipment, various systems, and contractors.
- Work with the Project team to control Timeline, Spec, Capital Expenditure (CAPEX), and delivery to meet the store opening schedule.
- Coordinate service procurement, such as repair/maintenance/PM/system inspection work.
- Prepare procurement reports, such as monthly procurement value, Cost saving, Lead time, and On-Time Delivery (OTD).
- Perform Spend analysis to plan procurement and negotiate Contract/Framework agreements.
Qualifications: Bachelor's degree or higher in Business Administration, Logistics, Supply Chain, Industrial Engineering, or related fields. Minimum procurement experience: Senior Procurement Officer: 3–6 years; Procurement Supervisor: 5–8 years (with experience in team/work supervision). Experience in Retail / F&B / Hospitality / Entertainment / Multi-branch businesses will be specially considered. Experience in procurement for maintenance/contractors/spare parts and/or branch opening projects will be specially considered. AI (if required by company policy): Able to use AI to assist in reporting, price comparison, summarizing specs/conditions, and creating document templates. Negotiation Skills: Possess Advanced Negotiation techniques to protect company interests in terms of both price and warranty conditions. Tools: Good level of Excel/Google Sheets (Pivot, VLOOKUP/XLOOKUP, SUMIFS) and able to use document systems/ERP/Inventory. Attention to Detail: High attention to detail in verifying product specifications and legal clauses in service contracts. Able to manage a team under pressure and coordinate smoothly with branch managers and engineers. Analytical & Planning: Analyze usage/stock data, plan purchasing, and reduce shortages/excess stock.
