Kolmac Integrated Behavioral Health is looking for a dynamic, experienced Practice Manager to lead operations at our Philadelphia, PA location. You'll work hand-in-hand with clinical leaders and the Patient Access Director to align daily operations with Kolmac's mission — helping individuals and families heal through evidence-based addiction and behavioral health care.

What You'll Do
Operational Oversight & Practice Efficiency
Lead day-to-day clinic operations at our Philadelphia location
Keep the site clean, professional, and welcoming
Manage inventory of office, medical, and clinical supplies
Ensure smooth workflows from front desk to back office, aligned with Kolmac standards
Proactively adjust operations to maintain peak performance
Provider & Patient Access
Coordinate provider schedules and support onboarding of new providers
Monitor appointment availability and maximize same-day access
Evaluate staffing and scheduling to meet patient demand and financial goals
Manage smooth transitions during provider departures or additions
Patient Experience & Service Recovery
Serve as a key point of contact for resolving patient concerns
Drive service recovery and continuous improvement efforts
Use operational data (patient flow, no-show rates) to guide improvements
Staff Supervision & Development
Supervise all non-provider staff — training, onboarding, performance, and payroll
Coordinate staffing schedules to support efficient patient care
Partner with clinical leadership to identify training needs
Foster team engagement, development, and accountability
Lead hiring, promotion, and termination decisions
Compliance & Facility Readiness
Ensure compliance with health, safety, and regulatory standards
Uphold Kolmac's Code of Conduct and internal policies
Partner with Compliance and Legal on risk, privacy, and regulatory matters
Train staff on compliance and emergency preparedness
Financial Performance & Revenue Cycle
Oversee collection of copays, deductibles, and balances
Track cash collections, payer mix, and accounts payable
Maintain accurate financial documentation and reporting
Collaborate with centralized billing to strengthen revenue cycle performance
Leadership & Communication
Run regular team meetings on goals, updates, and policy changes
Be a visible, supportive leader who builds strong provider-staff relationships

Take on other duties to keep clinics running smoothly
The Logistics
Location: Philadelphia, PA
Schedule: Monday–Friday, 10:00 a.m.–6:00 p.m.
Starting salary: Up to $65,000, with potential for more based on experience, licensure, education, and skill level
What You Bring
4+ years in healthcare office management with direct staff supervision
Experience managing a medical office or behavioral health practice
Strong interpersonal and communication skills across clinicians, staff, and patients
Sharp analytical and problem-solving abilities
Comfort with healthcare software and administrative systems
Proven leadership, motivation, and goal-setting skills
Solid grasp of healthcare finance and best practices
Strong organization and time management
Bachelor's degree preferred, not required
