SUMMARY DESCRIPTION
This position supports the entire design team. It is a critical role that helps to keep the team organized and on track on each project. This position also supports and coordinates the accounting and budgeting compliance for the design team with the construction and accounting departments.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Generates purchase orders for the design team
Assists with tracking and ordering shipments
Reviews and approves interior design invoices
Researches and tracks past-due invoices, payments, and credit memos
Assists with receiving warehouse inventories
Oversees damaged goods received and makes appropriate claims with vendors
Handles monthly reconciliation of design purchasing credit card
Applies monthly credit card charges to appropriate projects in E-Builder
Uses E-Builder software for maintaining the records of activity
Decision-making is limited to company policies and procedures and generally will only affect individual job
EXPERIENCE
Two or more years of related experience
Knowledge in working with procurement processes
Knowledge of working with a design group as an assistant
Experience working with AP and invoice
EDUCATION
Business or Accounting degree preferred
SKILLS/CERTIFICATIONS
Understanding of interior design purchasing/ procurement process
Understanding of interior design invoicing process
Understanding and knowledge of interior design vendors
Ability to effectively communicate with the design team across multiple offices
Ability to multi-task and efficiently work on multiple projects at a time
Detail-oriented with great verbal and written communication skills
Creative thinker and team player
Ability to present informally to small groups on familiar, work-related topics
Ability to manage relationships with both internal and external clients
Work activities will somewhat vary, requiring the selection of standard procedures from among several that apply, including organizing work, selecting methods and monitoring results
PHYSICAL ABILITIES
Ability to lift files, records, and computer paper (approximately 5-10 lbs)
WORKING CONDITIONS
Ability to operate a computer, phone system, and general office equipment
Work over 40 hours per week as business needs to deem appropriate
Work indoors approximately 90% of the time
Ability to travel as required, albeit with minimal
