Purpose The purpose of this position is to intentionally create a workplace culture that aligns with the company's values, mission, strategy, and overall vision, while leading a team, preparing projects and budgets, and ensuring that properties meet building systems performance expectations. This role is also responsible for delivering exceptional customer service and maintaining the physical condition and curb appeal of the properties.

Responsibilities Leadership Responsibilities

Oversee the performance of a large portfolio of complex buildings.

Partner with the Technical Services leadership team on strategy development, team oversight, and performance evaluation.

Work closely with third-party service providers to ensure contractual obligations are met and high-quality service is delivered to both the properties and tenants.

Lead, coach, and develop a team of Building Operators by fostering teamwork, knowledge sharing, accountability, and collaboration across departments, while managing performance through continuous feedback and goal setting.

Participate in talent management activities, including workforce planning, candidate interviewing and selection, onboarding, training, and performance management.

Ensure all Building Operators receive cross-training across the buildings within their assigned portfolio.

Oversee operator assignments, work schedules, overtime, and holiday coverage.

Ensure Building Operators maintain a professional appearance and wear the required uniform while on duty.

Provide leadership and direction to Building Operators and Supervisors, ensuring equipment-related issues are addressed through both self-performed work and effective task delegation.

Identify training needs and obtain approval for development programs to ensure the team is equipped to manage daily operations and emergency situations.

Where applicable, provide management oversight and accountability for Supervisors.

Building Standards & Operations

Lead the transition of properties from development and construction to operations, ensuring a seamless handover process.

Collaborate regularly with the Property Management team to ensure operational objectives are achieved.

Work closely with vendors and contractors to ensure all required services are completed, verified, and properly documented.

Ensure service contracts are administered effectively, service levels are achieved, and all service providers, including contractors, are appropriately supervised while on site.

Oversee the commissioning, maintenance, and operation of major building systems, including HVAC, life safety, elevators, building envelope, electrical and data distribution systems, and related infrastructure.

Conduct routine inspections of mechanical, electrical, HVAC, and related building systems, including water treatment equipment, boilers, heat pumps, rooftop units, and air conditioning systems, to ensure optimal performance and reliability.

Oversee Yardi FM and tenant service requests by reviewing response times, ensuring work orders are fully documented, analyzing reports, and identifying opportunities to improve service delivery.

Ensure tenant concerns are addressed promptly and professionally, providing support with issue resolution and following up to confirm satisfaction.

Ensure all preventive maintenance activities are completed as scheduled and update maintenance programs as necessary.

Review daily, weekly, and monthly operational logs, investigate irregularities, and implement corrective actions to maintain safe and efficient building operations.

Partner with Portfolio Operations in preparing annual operating budgets and lead the development of capital budgets for the portfolio.

Ensure compliance with company policies, standard operating procedures, and building performance standards.

Work closely with Construction and Portfolio Operations teams, as well as technical consultants and contractors, on tenant improvements, capital projects, base building work, and vacant suite turnover activities.

Manage the procurement of goods and services required to support building and portfolio operations.

Ensure all health, safety, and security procedures are followed, incidents are documented in Yardi FM, and corrective actions are implemented to mitigate risk and liability.

Oversee the setup and administration of projects within Yardi, including work requirements and documentation, in collaboration with the TS+CON Coordinator.

Ensure all fire protection systems and equipment are inspected and tested in accordance with legislative requirements and industry standards.

Ensure seasonal building requirements are completed, including boiler maintenance, cooling tower operations, roof assessments, and other related activities, in accordance with service agreements.

Respond to after-hours calls and emergency situations as required.

Collaborate with the Construction Manager during tenant fit-outs and construction projects to ensure building standards are maintained.

Monitor portfolio-related KPIs and ensure performance targets are achieved in areas such as preventive maintenance, training, and work order completion.

Other Responsibilities

Work closely with Leasing and Property Management teams, where applicable, to ensure landlord work commitments are completed on schedule, including scope definition, tendering, and execution.

Develop and maintain strong working relationships with Operations staff, Property Management, contractors, tenants, occupants, and community stakeholders.

Support Allied’s sustainability, wellness, and user engagement initiatives.

Participate in certification processes such as BOMA, LEED, and WELL, where applicable.

Perform other duties and responsibilities as assigned.

Qualifications Required Experience:

Minimum 9 years of experience in the technical operation of commercial properties.

Minimum 5 years of experience leading and managing teams.

Experience managing maintenance, construction, and/or capital projects.

Experience with budget management, KPI tracking, and process improvement initiatives.

Experience using a Computerized Maintenance Management System (CMMS).

Education and technical knowledge:

Bachelor’s degree in Engineering, Business Administration, or a related field is considered an asset.

Relevant technical certifications such as BES I & II, SMT/SMA, 4th Class Power Engineer, or equivalent.

Strong knowledge of HVAC, electrical, mechanical, plumbing, building automation, and life safety systems.

Solid understanding of applicable codes, regulations, and industry standards, as well as health and safety practices.

Knowledge of sustainability best practices, energy management, and ESG reporting requirements.

Required Qualifications :

Proven leadership skills with the ability to coach, develop, and inspire high-performing teams.

Excellent communication and customer service skills.

Strong organizational, prioritization, and problem-solving abilities.

Collaborative team player with a results-oriented mindset.

Proficiency with Microsoft Office, CMMS platforms, and Building Automation Systems (BAS).

Valid driver's license.

Bilingualism (English/French) required for positions based in Eastern Canada.
