Job objectives

Contributing to the delivery of project services excellence through:

Executing assigned scopes of work

Supporting and supervising task delegation

Providing discipline expertise to the business

Key accountabilities and responsibilities

Run OTL (Oracle) reports and prepare weekly/monthly timesheets and facilitate the relevant approvals

Coordinate overtime/absence pre-approvals

Issue weekly manhour booking details to the team

Maintain PO register and document POs issued

Create projects and booking codes in Oracle International/OTL/Covero

Preparation of PAAFs, route for approvals, archive approved and maintain register

Assist in updating organization charts

Review expense claims and coordinate the approvals

Provide induction to new joiners on time writing and expense procedures

Provide support to planners and cost controller

Track and update resource status updates, headcounts, distribution lists

Raise material requisition forms and route for approvals

Working relationships

Internal:

Establish and maintain effective working relationships and communicate across the project/contract interfaces.

Engage with inter-discipline community and promote discipline including networking and knowledge sharing.

External:

Establish and/or maintain an awareness of external stakeholders including industry bodies, academia, vendors, client interface (as appropriate and requested).

Level of influence and decision-making authority

As delegated by line manager in accordance with competency assessment.

Minimum experience

Minimum of 1 to 5 years’ relevant experience in the oil and gas industry

Experience of working with multi-national and multi-cultural project teams is strongly preferred

Proficient in Microsoft Excel

Previous oil and gas industry experience

Experience with detailed engineering and consultancies
