The IT Administrative Officer is responsible for ensuring that all technology, equipment, and digital systems across Trillium's branches run smoothly, securely, and efficiently, supporting staff with day-to-day technical needs while maintaining the infrastructure, budget, and reporting standards of the department.

  1. Equipment & Maintenance:
  • Monitor and track camera issues across branches; report to the technician for repair
  • Follow up to confirm technician's work is completed correctly before closing the issue
  • Ensure all IT gadgets are functioning properly at all times; escalate after-hours emergencies
  • Coordinate sending equipment out for maintenance and retrieving it afterward
  • Distribute and collect IT gadgets across branches per the admin yearly calendar
  • Purchase and replace any damaged materials/equipment.
  1. Network & Connectivity:
  • Monitor and troubleshoot Wi-Fi/internet connectivity per branch, not limited to cameras
  • Coordinate with ISPs/vendors on outages and router issues.
  1. Software & Systems:
  • Manage software licenses and antivirus across branches
  • Support computers, laptops, and printers
  • Support attendance systems across branches:
  1. Data Security & Backups:
  • Manage camera footage retention/backup policy
  • Manage password policies and credential handling
  • Revoke system/account access promptly when staff leave.
  1. Asset Management:
  • Maintain an inventory/tracking log of all IT equipment.
  1. Budget:
  • Set the IT budget for the new academic year
  • Monitor and stay within the monthly IT budget per branch.
  1. Branch Coverage:
  • Team of three; the 12 branches are divided among them
  • Each person visits their assigned branches weekly
  • Available by phone during working hours for branch IT support
  • Present on Saturdays for checkpoints and progress reports with branches
  • Present on graduation days as needed
  • Cover for each other (help desk) on branches they can't personally reach.
  1. Digital Accounts & Platforms:
  • Manage all email accounts
  • Manage Zoom accounts; create Zoom meetings as requested
  • Upload event videos/recordings to WeTransfer links for distribution.
  1. Reporting:
  • Submit weekly reports and reports directly to the Chef Administrative Officer
