Accountabilities: The Business Development & Proposal Operations Specialist will own and enhance the systems, processes, and resources that support business development activities. This role will ensure proposal operations, CRM workflows, and client engagement initiatives are organized, effective, and aligned with strategic growth objectives.

Lead the implementation, configuration, and ongoing management of proposal platforms, including template creation, content governance, workflow optimization, and user support.

Build and maintain a comprehensive library of proposal templates, reusable content assets, and marketing materials while ensuring brand consistency.

Manage CRM operations, including contact and company records, pipeline tracking, reporting, dashboards, and data quality standards.

Develop and improve CRM workflows, integrations, and reporting processes to provide better visibility into business development activities.

Support end-to-end proposal processes, including bid coordination, compliance reviews, technical content development, and pursuit presentations.

Research market trends, client needs, and competitive positioning to support strategic decisions and identify new opportunities.

Manage client engagement processes, including surveys, outreach tracking, relationship-building initiatives, and business development calendars.

Maintain accurate business development databases and create scalable systems for data management and reporting.

Write and edit client-facing materials such as proposals, case studies, service descriptions, and qualification documents.

Collaborate with technical experts, project managers, and leadership teams to improve pursuit strategies and operational effectiveness.

Requirements:

The ideal candidate is a business development or marketing operations professional with strong experience managing proposal processes, CRM systems, and cross-functional initiatives. This role requires excellent organizational abilities, strong communication skills, and a systems-oriented mindset.

5+ years of experience in business development operations, proposal management, CRM administration, marketing operations, or a related field.

Bachelor’s degree in marketing, communications, information systems, business, or a related discipline.

Experience administering CRM platforms, including data management, pipeline configuration, reporting, and dashboard creation.

Demonstrated experience implementing or improving CRM and proposal management systems, including workflows, templates, automation, and user adoption.

Experience supporting proposal development tools and managing content libraries; familiarity with platforms such as PandaDoc is preferred.

Strong writing and editing skills with experience creating technical B2B marketing content, proposals, case studies, or qualification materials.

Ability to analyze business development data and translate insights into recommendations for improving performance.

Strong project management skills with the ability to manage multiple priorities, deadlines, and stakeholders.

Excellent attention to detail, organization, and follow-through in a fast-paced remote environment.

Experience in professional services, engineering, architecture, construction, or renewable energy industries is preferred.

Advanced CRM knowledge, including automation, integrations, lifecycle stages, and reporting capabilities, is a plus.
