Operations Coordinator (Fresh Graduates Are Welcome)

We are seeking a proactive and detail-oriented Operations Coordinator for one of our global shipping clients. The role will provide administrative and operational support to the Marine Operations team, with a key focus on vessel vetting, inspections, audits and regulatory documentation. The ideal candidate would have a Diploma in Maritime Studies, Business or a related discipline, with strong coordination and administrative skills. Candidates with exposure to marine operations, vetting, SIRE, PSC or vessel documentation would be advantageous. Key Responsibilities Provide day-to-day administrative and operational support to the Marine Operations team. Prepare weekly, monthly and quarterly reports, meeting agendas and presentation materials. Support TMSA audit preparation and compile data for Quarterly Management Reviews (QMR). Coordinate vessel vetting and SIRE inspections with vessels, ship teams, oil companies and agents. Maintain and update Q88, HVPQ, Officer Matrix and OCIMF/SIRE records. Follow up on SIRE, PSC and audit findings, responses, reports and related documentation. Track Navigation, Cargo and Mooring audits and follow up on the closure of outstanding items. Support other operational and administrative matters as required by the Marine Operations team. Qualifications Diploma in Maritime Studies, Business or a related discipline, or relevant administrative experience. Prior experience within the shipping or maritime industry would be advantageous. Exposure to SIRE, OCIMF, PSC, TMSA, Q88 or vessel vetting would be an advantage. Proficient in Microsoft Office applications. Strong organisational and time management skills with good attention to detail. Self-motivated and able to manage multiple tasks with minimal supervision. Good interpersonal and communication skills with the ability to work effectively across different stakeholders.
