Accountabilities: The Coordinator II, Meeting Coordination will support review operations by managing meeting preparation, submission coordination, and informed consent documentation processes. This role requires strong attention to detail, regulatory awareness, and the ability to manage multiple priorities while maintaining accuracy and compliance.

Review research submissions to confirm readiness for full board assignment and review.

Coordinate submission assignments for upcoming review meetings according to established processes.

Communicate assignments and updates to reviewers through internal systems.

Support preparation of meeting materials, post-meeting documentation, and review determinations.

Conduct quality reviews of new and revised informed consent documents to ensure compliance with applicable regulations and standards.

Edit consent forms to align with regulatory requirements, operational procedures, and client-specific agreements.

Apply required negotiated language and incorporate feedback from board members, clients, and internal stakeholders.

Perform quality control checks on informed consent documentation to ensure accuracy and consistency.

Maintain and expand knowledge of human subject research protections, clinical research regulations, and compliance requirements.

Complete required regulatory training and organizational learning programs.

Attend review meetings regularly to strengthen understanding of review processes and operational practices.

Identify opportunities for process improvements and contribute recommendations to leadership.

Perform additional responsibilities as assigned to support team objectives.

Requirements:

The ideal candidate will have experience in clinical research, regulatory review, or institutional review board (IRB) operations, along with strong organizational and communication skills. This role requires someone who can manage detailed documentation, understand regulatory requirements, and work effectively in a remote environment.

1+ year of IRB or clinical research experience with a bachelor’s degree, or 4+ years of IRB or clinical research experience with an associate degree.

Bachelor’s degree preferred.

Knowledge of regulations and guidelines related to human subject research protection preferred.

Familiarity with clinical research involving drugs, devices, or related healthcare studies is a plus.

Strong proficiency with Microsoft Word and Outlook.

Familiarity with Excel, PowerPoint, collaboration platforms, virtual meeting tools, and web-based software applications.

Ability to review, edit, and proofread technical or medical documents with high accuracy.

Ability to translate complex medical or technical information into clear, understandable language.

Strong written and verbal communication skills in English.

Professional communication skills and confidence participating in meetings and discussions.

Excellent organization, time management, and ability to manage competing priorities.

Strong attention to detail and commitment to producing high-quality work.

Ability to work independently and collaborate effectively with remote teams.

Comfortable learning new systems, processes, and regulatory requirements.
