The successful candidate will work closely with the Director, taking responsibility for diary management, email correspondence, administrative coordination and ensuring important tasks and deadlines are not overlooked.

  • Maintain evidence trackers, document registers and action plans.
  • Coordinate meetings, correspondence and follow-up actions with Natspec and other relevant stakeholders.
  • Ensure documentation is accurately filed, updated and readily accessible.

Regulatory guidance will be provided by specialist advisers. This role focuses on administration, coordination and ensuring tasks are completed.

Essential Skills & Experience

  • Significant experience as an Executive PA, Executive Secretary, Senior PA or in a comparable senior administrative role.
  • Ideally at least five years of relevant experience.
  • Proven experience managing a senior executive's diary and email correspondence.
  • Excellent written and spoken English, including strong grammar and professional correspondence skills.
  • Highly proficient in Microsoft Outlook, Word and Excel.

  • High standards of confidentiality, discretion and reliability.

Desirable Experience

  • Experience in education, health and social care, local government or another regulated environment.
  • Experience supporting a Director responsible for multiple organisations.
  • Experience coordinating compliance documentation, project administration or evidence-gathering.
  • Experience improving administrative processes and systems.

Personal Attributes

We are looking for someone who:

  • Takes pride in maintaining excellent professional and secretarial standards.
  • Is confident, resourceful, organised and solution-focused.
  • Anticipates requirements rather than waiting for instructions.

  • Remains calm and effective when managing competing priorities.
  • Demonstrates integrity, discretion and sound judgement.
  • Takes responsibility for completing tasks accurately and on time.

What We Offer
