We are looking for an organized and proactive HR & Admin Executive to support our HR and office administration functions. This role suits someone who enjoys variety, thrives on detail, and is comfortable juggling people-related processes alongside day-to-day office operations. You will work closely with the HR and management team to ensure smooth employee lifecycle management and efficient office administration.

Key Responsibilities

Human Resources

  • Assist with onboarding and offboarding of employees, including preparation of employment contracts, orientation, and exit formalities
  • Maintain and update employee records, HR databases, and personnel files in compliance with data protection requirements
  • Support monthly payroll processing, leave and attendance tracking, and claims administration
  • Assist in the coordination of employee engagement activities and training sessions
  • Help ensure HR practices comply with the Employment Act and other relevant Singapore employment regulations
  • Handle work pass applications, renewals, and cancellations (e.g. Employment Pass, S Pass, Work Permit) where required

Administration

  • Manage day-to-day office administration, including procurement of office supplies, equipment, and vendor coordination
  • Handle incoming and outgoing correspondence, courier arrangements, and front-desk duties as needed
  • Coordinate meeting room bookings, travel arrangements, and logistics for internal and client-facing events
  • Maintain proper filing systems for both digital and physical records
  • Liaise with building management, IT, and external vendors on office facilities and equipment matters
  • Support ad-hoc administrative projects and provide general assistance to management as required

Requirements

  • Diploma or ITE Diploma
  • 1–2 years of relevant experience in HR and/or administrative support, ideally within a professional services or office environment
  • Familiarity with Singapore's Employment Act and basic HR compliance requirements
  • Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook); experience with HRIS or payroll software is a plus
  • Strong organizational skills with meticulous attention to detail
  • Good interpersonal and communication skills, with the ability to handle sensitive information with discretion
  • Ability to multitask, prioritize, and work independently in a fast-paced environment
  • A positive, service-oriented attitude and willingness to learn
