Executive Office Manager – Chairman & CEO Office

Purpose Support the Chairman and Group CEO in managing priorities, governance, and communication across BIC. The core purpose of this role is to drive execution — following up on commitments across department heads, tracking initiatives to closure, and keeping the executive office running smoothly. Key Responsibilities Executive Office Management

  • Manage the Chairman's and CEO's calendars
  • Coordinate meetings and travel arrangements
  • Prepare executive correspondence
  • Maintain strict confidentiality at all times

Governance & Meeting Support

  • Prepare agendas and briefing materials
  • Attend selected meetings and issue minutes
  • Keep a live log of actions and decisions
  • Follow up on outstanding items until they are closed

Execution Follow-Up (the core of this role)

  • Track ongoing initiatives (e.g. digital transformation, call center rollout, Lyve platform, new

development launch, office relocation) against agreed timelines

  • Collect status updates from department heads
  • Flag delays and issues directly to the CEO and Chairman

Reporting

  • Prepare regular executive dashboards
  • Prepare monthly reports for the Chairman and CEO
  • Pull together materials for board presentations

Communication

  • Act as the main point of contact between the Chairman, CEO and department heads
  • Coordinate internal announcements
  • Make sure open items get closed, not just raised

Administration

  • Document control and executive filing
  • Office logistics and executive events

Qualifications

  • Bachelor's degree
  • At least 15 years supporting Chairman/CEO/VP-level executives
  • Real estate or hospitality background is a plus • Fluent English and Arabic
  • Strong Excel, PowerPoint and Word skills
  • Excellent judgment, discretion, and follow-through
  • Comfortable following up with department heads without being asked twice

Note on Scope This is not a traditional Personal Assistant role. Calendar and travel management is a small part of the job — the main value is following up on execution across the Group. Candidates should be assessed on this ability, not just on administrative skills.
