NDI is an international nonprofit and nonpartisan organization working to support and strengthen democratic institutions worldwide through citizen participation, openness and accountability in government. Since 2018, NDI has implemented programs focused on parliamentary strengthening, political pluralism and political party development, women’s and youth political participation and leadership, citizen engagement, public debates, and strengthening connections between citizens and democratic institutions.  NDI is seeking an experienced Logistics, Finance, and Administrative Officer for the field office in Yerevan to support all logistical aspects of program implementation in Armenia, as well as services related to NDI’s internal financial and administrative procedures. The position will be overseen by NDI’s Senior Resident Director in Armenia based in Yerevan and works in collaboration with NDI Headquarters staff in Washington D.C..

The Logistics, Finance, and Administrative Officer will develop, manage and monitor all aspects of NDI’s admin and financial support systems by performing the duties listed below:

Logistics & Program Operational/Admin Support:

Work with program staff to arrange logistics for program events – including booking hotel conferences spaces, hotel rooms, and developing vendor contracts for program events; 

Ensure compliance with NDI internal and donor procurement and legal/compliance rules; 

Manage leases and rent payments for office and housing of expatriate staff. 

Financial Data Entry and Payment Processing:

Track and reconcile monthly field office payments and enter into financial management system (NetSuite)

Work in partnership with accounting experts to ensure all payments and invoices, including staff salaries, per diems and project and activity expenses; monthly contract payments are dealt with promptly and to the satisfaction of clients, partners and staff;

Prepare monthly wire transfer requests to submit to NDI HQ; 

Ensure that systems are in place to record, update, file, retrieve and copy on a day to day basis, and as required, documentation and information related to NDI’s financial processes, including project and activity expenses, staff salaries, monthly contractual payments, office payments, inventory lists and other documents;

Work closely with Washington D.C. based staff to track program budgets by providing regular updates on activity spending; 

Maintain security of all financial records; 

Other tasks may be assigned from time to time by the Resident Director.

This position is available immediately. 

Educational Background / Experience:

Bachelor’s Degree in Accounting, Business Administration, Finance, or a related field.

Minimum of 2 years of demonstrable experience in international organizations or other relevant work experience;

Experience in logistical or operational support roles (essential).

Experience in financial tracking or management processes and the ability to set and reconcile budgets and track expenditures (preferred).

Required Skills and Abilities:

Excellent organizational and problem-solving skills to effectively interact with all levels of staff, partners and vendors;

Strong verbal and written communications skills to effectively present detailed financial information, respond to questions and develop reports. Oral and written fluency in English and Armenian required;

Proficiency with Google (Gmail, Google Calendar, Google Drive) and Microsoft products and database applicationsHigh level of attention to detail in all aspects of work responsibilities;

Ability to practice discretion and maintain the confidentiality and security of financial records;

Proven organizational skills and ability to multitask under tight deadlines.
