Lifespan Therapy provides therapy staffing services to home health agencies throughout California. We work behind the scenes to help agencies maintain reliable PT, OT, and ST coverage while supporting the operational and administrative work that keeps patient care moving.
Our agency relationships are built on contracts and ongoing service. Once services are provided, our Accounts Receivable team is responsible for making sure invoices are paid accurately and on time.
We're looking for someone who can do more than send payment reminders. We need someone who can build strong working relationships with agency billing and accounts payable teams while confidently pursuing payment when an account becomes difficult.
About the Role
As an Accounts Receivable & Agency Relations Specialist , you will manage outstanding agency balances from initial follow-up through resolution. You will communicate directly with agency AR, AP, billing, and management contacts to understand payment issues, resolve legitimate discrepancies, and keep invoices moving toward payment.
This role requires a particular balance of relationship-building and assertiveness .
You should be someone agencies enjoy working with—but you also need to be comfortable asking difficult questions, pushing for specifics, challenging questionable explanations, and finding a path forward when someone is trying to delay or avoid payment.
A typical conversation might involve an agency saying, “We're having cash-flow problems and can't pay this right now.” Rather than simply accepting that answer, you'll need to understand the situation, determine what is actually preventing payment, review what the contract and invoice require, and work toward a realistic resolution.
You will have autonomy to think through situations and determine the best next step rather than following a script for every collection scenario.
Agency Accounts Receivable
Monitor outstanding agency invoices and proactively follow up on overdue balances.
Establish regular communication with agency AR/AP contacts and develop productive working relationships.
Follow accounts through to payment rather than simply sending reminders and waiting for a response.
Investigate unpaid invoices and determine the actual reason for non-payment.
Review contracts, invoices, payment history, and supporting documentation when resolving disputes.
Identify discrepancies and coordinate internally to resolve legitimate billing issues.
Escalate appropriate accounts when an agency is unwilling or unable to resolve an outstanding balance.
Relationship Management & Collections
Build professional relationships with agency billing and financial contacts.
Communicate confidently and professionally with people at different levels of an organization.
Be friendly and collaborative while remaining firm about contractual obligations and outstanding balances.
Recognize when an issue is legitimate and requires investigation versus when an explanation is simply delaying payment.
Ask the right follow-up questions rather than accepting vague answers.
Think on your feet when conversations take an unexpected direction.
Negotiate payment arrangements or next steps when appropriate while protecting the company's interests.
Know when to continue working directly with an agency contact and when an issue needs to be escalated.
Problem Solving & Account Ownership
Take ownership of difficult accounts and determine what needs to happen next.
Research answers rather than waiting for someone else to solve the problem.
Work with internal operations, invoicing, and leadership teams to resolve issues affecting payment.
Identify recurring reasons for delayed payment and help improve our processes.
Maintain accurate notes and follow-up so that difficult accounts do not fall through the cracks.
This is an overnight position (hours 8 AM - 5 PM PST)
Required:
Experience in accounts receivable, collections, billing, account management, customer success, or a similar role involving financial follow-up and relationship management.
Strong verbal and written communication skills.
Comfortable having direct conversations about money and overdue balances.
Strong interpersonal skills and the ability to build rapport quickly.
Confident, persistent, and professional when dealing with difficult conversations.
Strong critical-thinking skills and the ability to quickly understand what is actually happening in a situation.
Ability to ask probing questions and challenge unclear or inconsistent explanations professionally.
Excellent organization and follow-through.
Comfortable working independently and managing multiple accounts simultaneously.
Strong attention to detail when reviewing invoices, contracts, payment records, and account history.
Especially valuable:
Experience collecting B2B or business-to-business accounts.
Experience working directly with Accounts Payable, Accounts Receivable, billing departments, or business owners.
Experience interpreting contracts or service agreements when resolving payment disputes.
Healthcare, home health, staffing, or other service-industry experience.
Experience with QuickBooks or other accounting software.
Experience managing long-term client or vendor relationships.
The Person We're Looking For
This position is a good fit for someone who can walk into a difficult conversation without becoming either too passive or unnecessarily confrontational .
You might be very friendly with an agency contact one day and need to have a firm conversation with that same person the next.
You should be comfortable saying:
“I understand that you're having an internal issue. Let's figure out exactly what is preventing this invoice from being paid.”
And then asking the next five questions until you actually understand the problem.
We value people who are resourceful, perceptive, persistent, and comfortable thinking on their feet . If your instinct when someone gives you an unexpected answer is to ask “Okay, but what's actually happening here, and what can we do about it?” , you'll likely do well in this role.
A skills test will be required
