Assistant Sales & Marketing Officer — Role, Duties & Responsibilities

🎯 Role Summary

The Assistant Sales & Marketing Officer supports both the Sales and Marketing departments by handling daily coordination, customer communication, documentation, lead follow‑ups, and basic marketing execution. The role ensures smooth sales operations, timely client servicing, and consistent brand communication.

📌 Core Responsibilities

1. Sales Support & Customer Coordination

  • Handle customer enquiries via phone, WhatsApp, email, and walk‑ins.
  • Prepare and issue quotations, proposals, service packages, and renewal notices.
  • Follow up on pending quotations, job confirmations, and customer feedback.
  • Assist in processing sales orders, job requests, and service documentation.
  • Maintain customer records, contact lists, and communication logs.

2. Service Job Planning & Coordination

  • Assist in planning daily/weekly service job schedules.
  • Coordinate deployment of technicians/operations team to site.
  • Prepare job sheets, service forms, calibration documents, and checklists.
  • Track job progress, update status, and ensure timely completion.
  • Support contract issuance for yearly service renewals.

3. Marketing Support & Promotion Activities

  • Assist in creating marketing materials (brochures, flyers, WhatsApp blasts).
  • Support social media posting, content updates, and basic graphic editing.
  • Help coordinate marketing campaigns, promotions, and customer outreach.
  • Maintain product information sheets, service brochures, and price lists.
  • Conduct basic market research on competitors, pricing, and customer trends.

4. Administrative & Documentation Duties

  • Maintain organized filing of sales, service, and marketing documents.
  • Prepare reports: sales performance, job completion, customer feedback.
  • Update CRM or internal customer database (leads, contacts, job history).
  • Support internal meetings, scheduling, and follow‑up actions.
  • Ensure all documents follow company format, accuracy, and branding.

5. Product & Service Introduction

  • Introduce company products and services to customers.
  • Explain service packages, maintenance plans, and technical offerings.
  • Assist sales team in presenting product features and benefits.
  • Provide basic technical information (based on training provided).

6. Cross‑Department Collaboration

  • Work closely with Sales, Service Operations, and Admin teams.
  • Support coordination between departments for job planning and customer handling.
  • Assist in resolving customer issues by liaising with relevant teams.

7. Additional Duties (as assigned by management)

  • Support events, exhibitions, and customer visits.
  • Assist in procurement follow‑ups for marketing or service materials.
  • Participate in continuous improvement initiatives for workflow efficiency.
