Outdoor Admin Executive (Cleaning Operations)

Job Summary
Support day-to-day cleaning operations through administrative coordination, site visits, and operational assistance across multiple cleaning worksites.
Responsibilities
- Provide administrative and operational support to the Operations team to ensure smooth daily management of cleaning worksites
- Visit cleaning worksites regularly to address operational needs and resolve site issues promptly
- Coordinate daily operational matters with Operations Managers, Supervisors, and site personnel to maintain workflow efficiency
- Assist in deploying manpower, tracking attendance, and maintaining accurate operational records
- Maintain and update site records, checklists, reports, and other documentation to support operational transparency
- Assist with site inspections and jobsite audits, preparing detailed reports as required to ensure compliance and quality
- Follow up on outstanding operational issues with relevant site personnel to ensure timely resolution
- Coordinate cleaning equipment, uniforms, supplies, and other operational resources to meet site requirements
- Liaise with internal departments to facilitate smooth operational and administrative processes
- Support documentation and coordination efforts related to cleaning contracts and worksites to ensure contract compliance
- Travel between different worksites to perform operational follow-ups and coordination tasks efficiently
- Perform additional operational and administrative duties as assigned by Management to support team objectives
Required competencies and certifications
- Valid Class 3 driving license to enable travel between various cleaning worksites (essential for role duties)
- Proficiency in English and Mandarin to communicate effectively with Mandarin-speaking cleaning staff and operational personnel
Preferred competencies and qualifications
- Relevant experience in administration, operations, facilities management, cleaning services, or related service industries
- Proficiency in Microsoft Office applications, especially Excel and Word, to manage operational documentation and reporting
- Strong communication, coordination, and organizational skills to manage multiple operational matters independently
- Ability to work independently and manage multiple operational tasks efficiently
- Comfortable working in outdoor and operational environments
- Willingness to travel between different worksites as required
