Legal Secretary / Administrative Assistant

Responsibilities:

Provide comprehensive secretarial and administrative support to the managing partner, lawyers, and other members of the firm. Draft, format, edit, proofread, and prepare letters, legal documents, reports, memoranda, and other correspondence. Receive, record, organise, distribute, and dispatch incoming and outgoing documents. Manage the firm's diary, schedules, appointments, meetings, conferences, and consultations. Maintain accurate and well-organised physical and electronic filing systems, office registers, and administrative records. Receive and attend to telephone calls, emails, clients, visitors, and general enquiries in a professional and courteous manner. Coordinate meetings by preparing meeting rooms, documents, and other required materials, as well as taking minutes or notes when necessary. Assist with the preparation and delivery of documents to clients, counsel, courts, government agencies, regulatory bodies, and other relevant organisations. Coordinate with couriers and dispatch riders to ensure timely delivery and collection of documents. Maintain strict confidentiality and proper custody of client and firm information, documents, and correspondence. Monitor stationery, office supplies, and other administrative materials and ensure adequate availability. Assist with printing, scanning, photocopying, binding, and other document-related tasks. Support the smooth day-to-day running and organisation of the firm's office. Prepare administrative reports, schedules, and follow up on assigned tasks and deadlines. Perform other secretarial and administrative duties as may be assigned.

Requirements:

A minimum of an degree in secretarial studies, business administration, office technology and management, or a related field. Previous experience in a secretarial, administrative, or legal support role is an advantage. Excellent written and verbal communication skills. Strong organisational and time-management skills. Proficiency in Microsoft Office applications, including Word, Excel, and Outlook. Excellent attention to detail and accuracy. Ability to manage multiple tasks and meet deadlines. Professional, courteous, and well-presented manner. Ability to handle confidential information with discretion. Good interpersonal and client-service skills. Candidates should reside within or have easy access to the Yaba or Surulere axis. Preferably a female candidate.
