Position Overview We are seeking a dynamic, highly organized, and proactive HR & Executive Assistant to support our Director and oversee end-to-end HR operations. In this dual-function role, you will act as the Director’s operational right hand—managing schedules, tracking team accountability, ensuring strict deadline management, and contributing directly to business discussions. Simultaneously, you will manage all core HR functions, ensuring smooth organizational workflow, employee relations, and administrative alignment. The ideal candidate is strategic, assertive, and articulate, comfortable transitioning seamlessly from confidential HR management to high-level strategic brainstorming across marketing, business development, and operations. Key Responsibilities Executive Support & Task Management Calendar & Administrative Management: Manage the Director’s daily schedule, travel arrangements, correspondence, and administrative priorities. Team Accountability & Workflow Tracking: Maintain and monitor team task lists across departments, ensuring projects stay on schedule and deliverables are met. Deadline Tracking & Briefings: Actively track critical project timelines and provide consistent, structured updates to the Director on upcoming milestones and potential bottlenecks. Meeting Preparation & Strategic Contribution: Attend all internal and external meetings with the Director. Take actionable notes, manage follow-ups, and actively contribute creative ideas across marketing, business strategy, and operational initiatives.

Human Resources Management End-to-End Recruitment & Onboarding: Manage talent acquisition, including job postings, candidate screening, interview scheduling, offer letters, and smooth onboarding processes. HR Administration & Compliance: Oversee personnel files, leave tracking, performance evaluations, and ensure alignment with employment regulations and company policies. Employee Engagement & Culture: Serve as the primary point of contact for employee inquiries, resolve workplace conflicts, and foster a positive workplace culture. Policy & Operations: Assist in developing, updating, and enforcing company policies, HR initiatives, and organizational workflows.

Qualifications & Requirements Experience: 3+ years of experience in an HR, Executive Assistant, or operations coordination role. Project Management Skills: Proven ability to manage complex task lists, hold team members accountable, and drive execution. Strategic & Creative Mindset: Strong commercial acumen with the confidence to contribute ideas in business development, marketing, and strategy sessions. Communication Skills: Exceptional verbal and written communication skills with strong executive presence and discretion. Software Proficiency: Hands-on experience with project management platforms such as Microsoft Office / Google Workspace suites. Attributes: Proactive, detail-oriented, adaptable, and able to thrive in a fast-paced environment with minimal supervision.
