Library Assistant
Summary of Work Activities and Responsibilities:
The Library Assistant IV provides frontline, library use, and section management support in the day-to-day operations of the library collections and circulation counter of KEMC.
Main Duties and Responsibilities:
I. Circulation and Library User Support
Provides frontline assistance to students, teachers, parents, and other library patrons regarding services and resources.
Responds to informational queries regarding library policies, procedures, and facilities in a professional manner
Responds to email and other correspondence concerning circulation, overdue materials, and reservations
Guides users in locating specific books and utilizing library resources effectively
Handles circulation counter operations to facilitate the efficient movement of library materials
Processes check-out, check-in, and renewal transactions using the library management system to maintain accurate records
Receives and processes book reservations and retrieves requested materials for library users
Maintains the orderliness and professional atmosphere of the circulation area
II. Collection Management Support
Maintains the systematic organization and accessibility of the library collection
Shelves returned materials accurately according to the prescribed library classification system
Performs regular shelf reading to ensure the correct arrangement and easy retrieval of materials
Participates in the annual inventory activity to account for the status and condition of all library holdings
Performs technical processing and physical maintenance of library materials
Labels library materials to support systematic storage and retrieval
Identifies damaged or misplaced materials and refers them for repair, replacement, or withdrawal
Maintains the physical organization and cleanliness of the library
III. Administrative Support
Prepares data and drafts reports required by the KEMC Coordinator
Records, collates, and maintains statistical data on the assigned area of responsibility (e.g. daily user statistics, book search requests, number of books returned to shelves)
Supports the implementation of library policies, procedures, and service improvements
Coordinates the implementation of library programs and community engagement activities
Prepares publicity materials, displays, exhibits, and promotional content to encourage library use and reading among the community
Collaborates with library staff in creating activities that promote library collections and services
IV. Performs other duties as may be assigned by the immediate supervisor, or any authorized representative
Knowledge, Skills, and Abilities:
Knowledge of Library Operations and Standards: Demonstrates basic knowledge of library operations and adherence to industry standards

Records Management: Ability to systematically organize, store, update, and protect Office and Staff-related records throughout their life cycle, from the time of creation or receipt to their eventual disposition/turnover
Technological Savvy: Ability to utilize information technology and computer and internet systems to accomplish tasks
Customer Service Skills: Ability to understand client perspectives and respond to their needs with urgency and serious attention; This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction
Communication Skills: Ability to communicate tactfully and sensitively with all types of personalities and predispositions
Active Listening: Giving full attention to what other people are saying, taking time to understand the points being made, asking questions as appropriate, and not interrupting at inappropriate times
Secretarial and Administrative Support: Knowledge of administrative and office procedures and systems such as word processing, managing files and records, designing forms, and workplace terminology
Education and Experience Requirements:
Graduate of any Bachelor’s Degree
At least one (1) year of relevant working experience
