Job Summary

The Registrar is responsible for the administration, documentation, movement control, and collection management of artworks entrusted to Crown Fine Art. The role ensures accurate records, condition reporting, inventory control, loan administration, customs documentation, storage management, and coordination of artwork transportation, installation, and exhibitions.

The Registrar serves as a key point of contact for museums, galleries, collectors, auction houses, art advisors, and institutional clients, ensuring all artwork movements comply with museum standards, client requirements, insurance obligations, and regulatory requirements.

Key Responsibilities

Collection & Inventory Management

  • Maintain accurate and up-to-date records of all artworks within Crown's custody.
  • Manage inventory systems and collection databases.
  • Track locations, movements, storage allocations, and status of artworks.
  • Ensure artwork records, accession details, and supporting documentation are maintained and easily retrievable.
  • Conduct regular audits and inventory reconciliations.

Artwork Documentation

Coordinate and maintain:

  • Condition reports
  • Loan agreements
  • Consignment records
  • Provenance documentation
  • Packing specifications
  • Installation instructions
  • Insurance records

Ensure all documentation meets museum and client standards. Maintain digital archives of artwork-related information.

Logistics & Transportation Coordination

  • Coordinate domestic and international artwork shipments.
  • Arrange transportation schedules and manage shipment documentation.
  • Liaise with customs brokers, freight partners, museums, galleries, and clients.
  • Prepare import/export and customs documentation.
  • Monitor shipment progress and provide status updates to stakeholders.

Storage & Collection Care

  • Coordinate artwork intake and release processes.
  • Ensure artworks are stored according to conservation and preservation standards.
  • Monitor storage requirements including climate-sensitive works.
  • Work closely with operations teams to ensure proper handling procedures are followed.

Exhibitions & Installations

  • Coordinate the movement of artworks for exhibitions, loans, fairs, and installations.
  • Support exhibition planning, scheduling, and logistics.
  • Work with curators, art advisors, conservators, and installation teams.
  • Ensure artworks are delivered, installed, and returned according to agreed timelines.

Client Relationship Management

  • Act as the primary operational contact for assigned clients.
  • Provide timely updates regarding artwork movements, storage, and exhibition activities.
  • Build trusted relationships with:

  • Cultural institutions

Compliance & Risk Management

Ensure compliance with:

  • Customs regulations
  • International shipping standards
  • Insurance requirements
  • Chain-of-custody procedures

Support artwork valuation, insurance declarations, and risk assessments. Maintain confidentiality and security of client collections.

Reporting & Administration

  • Prepare collection reports and inventory summaries.
  • Generate movement and storage reports.
  • Monitor and track service-related documentation and client requests.
  • Support billing validation and operational record keeping.

Qualifications

Education

Bachelor's Degree or Diploma in:

  • Museum Studies
  • Art History
  • Fine Arts
  • Arts Management
  • Collections Management
  • Logistics or related field

Experience

Minimum 3-5 years of experience in:

  • Museum registration
  • Collection management
  • Gallery operations
  • Auction house administration
  • Fine art logistics
  • Art storage operations

Technical Knowledge
