Proposal Manager

The employee is responsible for preparing proposals, processing orders, and reviewing contractual terms. He or she also assists the company’s Account Managers in ensuring smooth and efficient commercial operations.

Key Responsibilities:

1.Commercial Responsibilities (40%):

Prepare and issue technical and commercial submittals for tenders before closing dates.

Manage and coordinate the sales queue to ensure all proposed solutions are aligned with sales team instructions and customer RFQs.

Follow up on open orders through delivery, invoicing, and post-delivery stages.

Respond promptly and accurately to customer inquiries, requests for information, and pricing.

Maintain and update the inquiry/order log sheet on a regular basis.

Prepare detailed Win/Loss reports for each account to support performance tracking.

Ensure the agreed gross margin is maintained in collaboration with Sales Account Managers.

Immediately report any financial loss incurred after customer order placement.

2.Technical Responsibilities (30%):

Maintain complete and up-to-date technical knowledge of all products and solutions.

Assist the Sales Team with product enhancement updates and technical support as required.

Serve as an escalation point for customers and the sales team for initial technical or design issues, coordinating with manufacturers to ensure swift resolution.

Provide accurate and timely technical clarifications to customers to facilitate decision-making.

3.Reporting and Coordination Responsibilities (30%):

Prepare monthly, quarterly, and annual sales reports, including figures, trends, and performance insights.

Actively participate in sales team meetings, contributing ideas and sharing best practices.

Collaborate with the Logistics and Finance Departments to ensure all documents related to issued orders are accurate, complete, and up to date.

4.Decision-Making Responsibilities:

  • Make quote/decline decisions based on AIG’s strengths and weaknesses analysis (in coordination with the Sales Account Manager).

Define and maintain acceptable Gross Profit Margins.

Prepare technical submittals that fully comply with customer RFQs.

Assess and negotiate commercial terms and conditions based on AIG’s past performance and relationship with each customer.

Determine optimal delivery logistics and manage related costs effectively.

5.Key Performance Indicators (KPIs):

Timeliness and accuracy of inquiries, orders, and offer submissions.

Attendance and punctuality record.

Hit Rate (successful quotes vs. total quotes).

Quality and responsiveness in customer follow-up.

Requirement Customer Service Professional knowledge of principles and processes for providing customer and personal services. Includes needs assessment, meeting service standards, and evaluating customer satisfaction. Presales Knowledge 3–5+ years of professional experience in presales, tendering, engineering, or project management. Proven ability to manage multiple requests/projects in parallel. English Language Excellent command of English, including grammar, composition, and professional communication (both verbal and written). Computers & Electronics Proficiency in computer applications relevant to engineering, proposal management, and documentation. Mathematics Sound knowledge of calculus, statistics, and their applications in engineering cost analysis and proposals.
