Job Description: Import & Export Administrator (Admin Importir & Exportir)

Department: Operations / Logistics / Supply Chain Reports to: Import-Export Supervisor / Logistics Manager Location: Menara Hijau Employment type: Full-time

Job Summary

The Import & Export Administrator manages the documents and administrative steps for the company's international shipments. They make sure every import and export follows customs and trade rules, arrives on time, and is recorded accurately. They are the main contact between the company, suppliers, buyers, freight forwarders, customs brokers (PPJK), and government agencies.

Key Responsibilities

Import Administration

Prepare and check import documents: Commercial Invoice, Packing List, Bill of Lading / Airway Bill, and Certificate of Origin Coordinate PIB (Pemberitahuan Impor Barang) filing through CEISA / INSW, either directly or through the customs broker Classify goods under the correct HS Code and calculate import duties, VAT, and PPh 22 Monitor Lartas (restricted/prohibited goods) requirements and obtain permits and approvals (e.g., SNI, BPOM, Kemendag import approvals) when needed Track shipments from origin to warehouse and follow up on customs clearance (red/yellow/green lane)

Export Administration

Prepare export documents: Commercial Invoice, Packing List, PEB (Pemberitahuan Ekspor Barang), and shipping instructions Arrange Certificates of Origin (e-SKA / COO) and other certificates the buyer requires (phytosanitary, fumigation, health, etc.) Book cargo space with shipping lines or forwarders and coordinate stuffing schedules Make sure L/C requirements are met, and prepare document sets for bank negotiation

Coordination & Communication

Communicate with overseas suppliers and buyers about shipment schedules, documents, and discrepancies Coordinate with freight forwarders, customs brokers, shipping lines, and trucking companies Work with the finance team on payments (T/T, L/C, D/P), duties, and freight invoices Work with the warehouse team on incoming and outgoing goods

Record Keeping & Reporting

Keep organized digital and physical files for all import and export transactions Update shipment trackers and logistics costs, and report them regularly to management Keep company licenses up to date (NIB, API-U/API-P, NPWP registration with Customs) Support internal and external audits, including customs audits Qualifications Diploma (D3) or Bachelor's degree (S1) in International Business, Logistics, Business Administration, or a related field At least 1–2 years of experience in import/export administration, freight forwarding, or customs brokerage (fresh graduates with relevant internships are welcome to apply for junior positions) Understands export-import procedures, Incoterms 2020, HS Code classification, and Indonesian customs regulations Familiar with CEISA, INSW, and OSS systems Proficient in Microsoft Office, especially Excel Good written and spoken English for international correspondence (Mandarin is a plus) Holds a customs brokerage certificate (Sertifikat Ahli Kepabeanan / BAK), a plus Key Competencies Very careful with details and document accuracy Organized and able to manage several shipments at once Good at solving problems when there are delays or document discrepancies Communicates well and gets along with people from different cultures Able to work under pressure and meet deadlines Honest and has integrity in handling customs and financial matters
