As the company continues to grow, they're looking for a highly organized, proactive, and resourceful Executive Assistant to become a trusted partner to the leadership team. This is an exciting opportunity to work directly with company executives, helping drive operational excellence while ensuring day-to-day priorities run smoothly.
Role Overview
As the Executive Assistant, you'll work closely with the leadership team to support day-to-day operations, merchant communications, and administrative priorities. You'll help keep merchant applications moving through the onboarding process by proactively following up on outstanding documentation, answering routine questions, coordinating internally, and ensuring nothing falls through the cracks.
This role is ideal for someone who thrives on staying organized, enjoys following through until every task is complete, and can confidently manage multiple priorities in a fast-paced startup environment. You'll become a trusted partner to the leadership team while serving as a reliable point of contact for merchants throughout their onboarding journey.
Key Responsibilities
Executive Support
Support the leadership team with day-to-day administrative tasks and operational priorities
Manage calendars, schedule meetings, and coordinate across multiple time zones as needed
Help manage executive inboxes by organizing communications and ensuring timely follow-up
Prepare documents, presentations, reports, and meeting materials
Coordinate travel arrangements and other administrative support when required
Handle confidential information with professionalism and discretion
Merchant Success & Account Coordination
Serve as a primary point of contact for merchants throughout the onboarding process
Proactively follow up with merchants to collect outstanding documents and information needed for account approval
Track merchant applications and ensure each account continues moving through the approval process
Respond to routine merchant questions and provide timely updates
Escalate complex questions or issues to leadership when appropriate
Build strong relationships with merchants by providing responsive and professional communication
Maintain accurate records of merchant interactions and application status
Ensure no merchant requests, follow-ups, or documentation fall through the cracks
Operations & Project Coordination
Track action items and operational priorities across the leadership team
Maintain organized documentation and internal records
Coordinate internal follow-ups to ensure tasks are completed on time
Identify opportunities to improve administrative and operational processes
Assist with special projects and additional operational responsibilities as the company grows
Administrative & Business Operations
Maintain organized records and documentation
Assist with preparing presentations, reports, and business documents
Recommend process improvements that increase efficiency across the organization
Provide additional administrative and operational support as business needs evolve
What We're Looking For
3+ years of experience supporting founders, executives, or senior leadership
Previous experience as an Executive Assistant, Operations Coordinator, Customer Success Coordinator, Account Coordinator, or similar role
Exceptional organizational and time-management skills
Outstanding attention to detail with a commitment to accuracy
Strong follow-through - you naturally keep tasks moving until they're fully completed
Excellent written and verbal English communication skills
Professional, friendly, and confident communicating with customers via email and phone
Strong customer service and relationship management skills
Ability to manage multiple priorities and conversations simultaneously
Comfortable handling confidential information with professionalism and discretion
Experience using Google Workspace, Microsoft Office, Slack, CRM platforms, and other productivity tools
Experience working in fintech, payments, merchant services, customer onboarding, or account management is a strong plus
Startup experience is a plus
AI fluency and familiarity with tools like ChatGPT or other AI productivity tools is a plus
Highly proactive, resourceful, and comfortable working independently in a remote environment
