DUTIES AND RESPONSIBILITIES
Office Administration
- Coordinate the day-to-day administrative operations of the office.
- Maintain organized and up-to-date office records, files, documents, and databases.
- Manage office supplies, stationery, equipment, and general office requirements.
- Monitor administrative expenses and maintain accurate records.
- Coordinate meetings, appointments, schedules, and office activities.
- Ensure the office environment remains professional, organized, and well maintained.
- Liaise with service providers, suppliers, and other external stakeholders as required.
- Support management and staff with general administrative duties.
Customer & Front Office Management
- Receive and professionally handle clients, visitors, and incoming enquiries.
- Respond to telephone calls, emails, and other client communications promptly.
- Direct client enquiries to the relevant departments or personnel.
- Maintain a high standard of customer service and professionalism.
- Follow up on client requests and ensure issues are escalated or resolved appropriately.
Coordination & Record Management
- Coordinate communication between departments to facilitate smooth workflow.
- Prepare correspondence, reports, presentations, and other administrative documents.
- Maintain confidential and sensitive information appropriately.
- Ensure proper filing and retrieval of documents.
- Assist with tracking deadlines, follow-ups, and outstanding administrative tasks.
General Support
- Support onboarding and administrative arrangements for new employees.
- Assist in organizing company events, meetings, and staff activities.
- Perform other administrative duties assigned by management.
- Identify opportunities to improve office processes and administrative efficiency.
KEY REQUIREMENT SKILLS AND QUALIFICATION
- Diploma or Degree in Business Administration, Office Administration, Management, or a related field.
- Minimum 2 years of relevant experience in office administration or a similar administrative role.
- Proficiency in Microsoft Office Suite, particularly Word, Excel, and Outlook/email.
- Strong written and verbal communication skills.
- Experience in customer service or front-office operations will be an added advantage.
