Asia Community Foundation (ACF) is an independent, trusted giving platform that aims to accelerate philanthropy in Asia for greater impact. Headquartered in Singapore, ACF aims to support individuals, families, and institutions as their trusted partner in philanthropy. Established in 2022 by a group of philanthropists from the Asia Philanthropy Circle, ACF was born out of the pressing need for a regional platform to facilitate cross-border giving in Asia. The Role ACF is looking for a highly organised and detail-oriented Senior Associate / Assistant Manager, Development & Engagement (Operations) to support the effective delivery of ACF's donor and partner services. Reporting to the Director of Development & Engagement, the role will provide operational and administrative support across the donor and partner lifecycle, from initial onboarding and fund setup through to ongoing monitoring, documentation and stewardship. The role will work closely with colleagues across Development & Engagement, Grantmaking, Compliance and Finance to ensure that donor and partner processes are well coordinated, accurately documented and delivered in a timely and professional manner. This is an operational role suited to someone who enjoys bringing structure to complex processes, managing multiple workstreams and ensuring that important details do not fall through the gaps. Key Responsibilities Donor Development Operations Support the onboarding of new donors and partners, ensuring that required information, documentation and approvals are completed and coordinating with internal teams as required. Serve as the internal point of coordination for donor onboarding, monitoring progress and following up on outstanding actions and requirements. Support the administration of grant applications and funding requests for contributions to ACF Funds and general operations. Coordinate the preparation and submission of grant reports and other reporting requirements to ACF funders. Fund Setup & Administration Support the establishment of ACF's philanthropic vehicles and engagements, including Hosted Funds, Hosted Projects, Advisory engagements and other giving arrangements. Work with internal teams to coordinate the preparation and maintenance of fund operating documents and other administrative materials. Track fund-related actions, deadlines and documentation to support effective implementation. Maintain accurate records of fund terms, key contacts, requirements and agreed processes. Systems, Processes & Team Operations Maintain accurate and up-to-date donor, partner and fund information across ACF's CRM and other internal systems. Support the continued development and improvement of CRM workflows, reporting and data management practices. Produce regular reports and dashboards to support team planning, monitoring and management. Support the implementation and consistent application of internal processes, controls and approval procedures. Document and improve workflows, including roles, responsibilities and hand-offs across teams. Provide broader operational and administrative support to the Development and Engagement Team as priorities evolve. Requirements Approximately 3 to 5 years of relevant work experience in philanthropy, nonprofit organisations, financial services, professional services, private banking, operations or a related field. Strong organisational and administrative skills, with excellent attention to detail. Demonstrated ability to manage multiple processes, deadlines and stakeholders simultaneously. Experience working with CRM systems, databases or other workflow management systems. Strong written and verbal English communication skills. Comfortable working with documentation, agreements, data and process requirements. Strong interpersonal skills and ability to work effectively across different teams and functions. Ability to take ownership of tasks, follow through and proactively identify issues requiring attention. Comfortable operating in a fast-paced and evolving organisation where systems and processes continue to develop. Bachelor's degree or equivalent professional experience. Experience in philanthropy, donor services, compliance, fund administration or cross-border giving would be an advantage. Mandarin or another Asian language would be an advantage.
