Administrative Executive (Operations)
About the Role
We are seeking a proactive and detail-oriented Administrative Executive (Operations) to support the day-to-day operations of the College. This role plays a key part in estate and facilities management, contractor coordination, procurement, logistics, asset management, and operational administration.
A major focus of this position will be supporting the planning and execution of the College's transition to a new location, ensuring operational readiness and a smooth relocation process.
Key Responsibilities
Operations, Estate & Facilities Management
- Support the daily management of facilities, infrastructure, and operational requirements.
- Conduct site inspections and coordinate maintenance, repair, and servicing works.
- Liaise with contractors and service providers to ensure timely completion of operational requirements.
- Maintain records relating to maintenance schedules, defects, warranties, and follow-up actions.
- Manage inventories, operational supplies, furniture, and equipment.
- Support safety, security, fire safety, and emergency preparedness activities.
- Provide logistical and operational support for examinations, meetings, and school events.
Procurement & Administrative Support
- Assist with procurement processes, including sourcing quotations and vendor coordination.
- Prepare reports, correspondence, meeting minutes, and operational documentation.
- Track project timelines, outstanding tasks, and action items.
- Monitor contractor and vendor performance to ensure compliance with requirements.
Campus Relocation & Project Coordination
- Support planning and operational readiness for the College's move
- Coordinate with stakeholders including MOE, consultants, contractors, vendors, and internal departments
