Founded in 2015, Woopa Group is a new-generation travel agency and destination management company. We re-invent the travel experience by combining adventure with professional storytelling to create meaningful experiences for every traveller. The Company manages several leading tour operator brands: Monster Day Tours, Lion Heartlanders, 8xplore and UBE — each specialising in innovative tour concepts that connect culture, history and community in meaningful ways.

We are looking for an organised, proactive and resourceful Projects Executive (Part-time) to support the planning, coordination and delivery of programmes for schools, government agencies and commercial partners.

In this role, you will work closely with the Senior Manager, Programmes & Partnerships, providing administrative and project coordination support while contributing to the development of new tours and programme content. You will play an important role in ensuring programmes are well organised, stakeholders are kept informed, and projects are delivered smoothly from planning through to execution.

Key responsibilities

  • Act as a day-to-day contact for schools, agencies and partners on routine matters: confirming bookings, sending pre-visit information, collecting participant details and resolving straightforward queries.
  • Prepare regular reports, including programme summaries, feedback compilations and sales or booking data, etc.
  • Take minutes at client and internal meetings, and follow up on action items.
  • Handle administrative work for the Programmes & Partnerships team. This includes scheduling, filing, updating trackers and the CRM, and preparing documents such as quotations, RAMS and attendance lists.
  • Research and develop new tours and programme content: site visits, historical and heritage research, route planning, and drafting itineraries and storylines for review.
  • Coordinate with operations, guides and vendors on the logistics of assigned programmes.
  • Use AI tools in daily work for research, drafting, summarising, data analysis and building simple workflows, and check all output for accuracy before it goes out.
  • Other ad-hoc duties as assigned.

Requirements

  • A diploma or degree in any discipline. Experience in tourism, education, events or project coordination is an advantage.
  • Confident, regular use of AI tools such as ChatGPT, Claude or similar. Be ready to show examples of how you have used them in your work or studies.
  • Organised and able to manage several small projects at once with little supervision.
  • Clear written and spoken English. Comfortable speaking with teachers, government officers and partners.
  • An interest in Singapore history and heritage.
  • Commitment of at least 12-15 hours a week, with some flexibility for programme days.
