Job Summary

The HR & Admin Executive is responsible for supporting the Company's human resource and administrative functions, including recruitment, employee onboarding, payroll administration, work pass administration, training coordination, office administration and HR compliance. The role ensures the effective implementation of HR policies, efficient office administration and compliance with Singapore employment legislation and company procedures.

Responsibilities

  • Coordinate end-to-end recruitment activities including job advertisements, candidate screening, interview scheduling, selection and onboarding to secure qualified talent
  • Administer Employment Pass, S Pass, and Work Permit applications, renewals and cancellations to ensure compliance with MOM regulations
  • Maintain accurate employee records and update HR documentation to support data integrity and reporting
  • Coordinate employee onboarding, orientation and offboarding processes to facilitate smooth transitions
  • Support payroll administration, leave management and employee benefits processing to ensure timely and accurate compensation
  • Coordinate employee training, certification renewals and learning and development activities to promote workforce capability
  • Assist in conducting performance appraisals, organizing employee engagement activities and implementing HR initiatives to enhance workplace culture
  • Ensure compliance with the Employment Act, MOM regulations and company HR policies through regular monitoring and reporting
  • Prepare HR reports, employment letters and other HR-related documentation to support management decisions
  • Manage general office administration including procurement of office supplies, facilities management, asset tracking and administrative records maintenance
  • Liaise with government agencies, training providers, vendors and service providers on HR and administrative matters to maintain operational efficiency
  • Coordinate office maintenance and provide general administrative support to ensure a productive work environment
  • Maintain confidentiality of employee and company information at all times to protect privacy and data security
  • Perform additional HR and administrative duties as assigned by Management to support business needs

Preferred competencies and qualifications

  • Bachelor's Degree in Human Resource Management, Business Administration, or a related discipline
  • Minimum 2 years' relevant experience in Human Resources and office administration
  • Good knowledge of Singapore employment legislation and MOM work pass regulations
  • Experience in recruitment, payroll support, HR administration, and general office administration
  • Proficient in Microsoft Office applications, particularly Microsoft Excel and Word
  • Strong organisational, administrative, and time management skills
  • Good communication and interpersonal skills
  • Ability to handle confidential information with discretion
  • Ability to work independently and collaboratively in a team environment
