Oversee general office administration and day-to-day operations to ensure an organized, efficient and well-functioning workplace.
Manage office facilities, maintenance, repairs, supplies and workplace requirements, including coordination with building management, contractors and service providers and follow-through on outstanding matters.
Provide basic IT and technology support, including equipment setup and minor troubleshooting, and liaise with external IT support where required.
Manage office equipment, assets, inventory and related records, ensuring proper maintenance and availability.
Prepare and format presentations, reports, documents and other business materials to a professional standard.
Coordinate meetings, internal arrangements, office events and logistical requirements, and manage administrative documentation, filing, records and invoices.
Provide concierge and lifestyle support to family members, including coordination of personal errands, deliveries, appointments and other day-to-day requirements.
Coordinate residential property and vehicle matters, including maintenance scheduling, repairs, vendor management and follow-up on outstanding matters.
Support ad hoc administrative and operational projects according to business requirements while maintaining appropriate confidentiality and discretion in handling company, management and family matters.
REQUIREMENTS
Degree in Business Administration, Office Management or a related discipline, with relevant experience in office administration, facilities management or operational support.
Strong organizational and coordination skills, with the ability to manage multiple priorities, work independently and follow matters through to completion.
Proficient in Microsoft Office, particularly PowerPoint, Word and Excel, with the ability to prepare polished and professional presentations and documents.
Resourceful, practical and hands-on, with good problem-solving ability and confidence in handling day-to-day office, facilities and basic technology matters.
Strong interpersonal and communication skills, with sound judgement, attention to detail and a high level of discretion when dealing with management, family members, vendors and confidential matters.
