Experience coordinating and booking patients for procedures or surgery at private hospitals and/or day surgery facilities

About the practice We are establishing a specialist private practice focused on facial plastic surgery, aesthetic surgery and non-surgical facial rejuvenation . The practice is designed around a highly coordinated patient journey, from the initial enquiry and consultation through clinical photography, insurance approval, surgical planning, hospital admission, surgery and post-operative follow-up. We are building a small, capable team in which people communicate well, help one another and take ownership rather than work within rigid departmental boundaries. We aim to provide patients with a highly professional, discreet and personalised experience while maintaining excellent clinical, administrative and safety standards. The role We are seeking an experienced, energetic and highly organised Clinic Nurse with strong private-practice experience. The successful candidate will have an important role throughout the patient's journey, supporting consultations, aesthetic treatments, procedures, surgery coordination and post-operative care while helping ensure that the clinical and administrative aspects of the practice run smoothly. This is not a narrowly defined nursing position. The successful candidate should be comfortable combining clinical nursing, patient coordination, insurance administration, hospital liaison and day-to-day clinic operations . The right person will be warm with patients, digitally confident, meticulous, adaptable and resourceful — someone who notices what needs to be done, takes initiative and follows tasks through without constant supervision. Key Responsibilities Clinical & patient support Prepare consultation and treatment rooms, patients, documentation and required equipment before clinics and procedures
Assist the surgeon during consultations, minor procedures and aesthetic treatments within the appropriate nursing scope
Provide pre-operative and post-operative nursing support
Perform wound care, dressing changes and other appropriate post-operative nursing procedures
Assist with suture removal and post-operative reviews where clinically appropriate
Take standardised clinical photographs and maintain organised before-and-after image records with appropriate consent and privacy safeguards
Provide patients with approved pre-operative, procedure and aftercare information
Support chaperoning, room turnover, infection-control procedures and safe handling of clinical supplies
Identify and track outstanding clinical actions, investigations, results and patient queries so that important follow-up is not missed
Maintain accurate and contemporaneous clinical documentation
Surgical & patient coordination Coordinate consultations, aesthetic treatments, procedures and surgical follow-up appointments
Support the complete surgical pathway from initial decision for surgery through post-operative review
Coordinate pre-operative investigations, medical clearances and other requirements before surgery
Arrange and confirm operating theatre and procedure bookings with private hospitals and day surgery facilities
Liaise with hospital admissions teams, operating theatres, business offices, anaesthetists and other healthcare professionals
Ensure that necessary clinical documents, consent forms, investigations and administrative requirements are available before surgery
Coordinate hospital admission and discharge arrangements where required
Arrange appropriate post-operative appointments and patient follow-up
Communicate promptly and professionally with patients by telephone, WhatsApp, messaging platforms and email
Help provide a discreet, reassuring and efficient experience for patients and accompanying family members
Insurance & financial administration A significant part of this role involves dealing with insurers and coordinating insured surgical patients. Responsibilities include: Preparing and following up Letters of Guarantee (LOGs)
Managing insurance pre-authorisation and pre-certification requests
Liaising with insurance companies, third-party administrators and hospital business offices
Coordinating requests for medical reports, clinical information and supporting documentation
Following up outstanding insurer queries and approvals
Assisting with procedure information, quotations, estimates and claims-related documentation
Ensuring approved procedures, hospital arrangements and administrative requirements are aligned before surgery
Maintaining organised records of insurance submissions, correspondence, approvals and outstanding actions
Escalating delays or problems promptly so that patient treatment is not unnecessarily disrupted
Previous hands-on experience handling insurance approvals and LOG processes in Singapore private healthcare is essential . Plato & digital clinic systems The successful candidate must have previous working experience with Plato . Responsibilities will include: Maintaining accurate patient records within Plato
Appointment and procedure scheduling
Updating patient demographics and administrative records
Recording and tracking relevant clinical and administrative information
Coordinating documentation associated with insurance and hospital bookings
Supporting billing, receipts and related clinic workflows where required
Ensuring patient information is complete, accurate and appropriately maintained
The candidate should also be comfortable using: Email and messaging systems
Shared calendars
Digital task-management systems
Electronic documentation
Cloud-based administrative systems
CRM or patient-management platforms
AI-enabled productivity and administrative tools where appropriate
Clinic operations & aesthetics Maintain consultation and treatment-room readiness
Prepare surgical, procedure and aesthetic consumables
Monitor clinical consumables, medications and product stock
Monitor expiry dates and assist with stock ordering and inventory control
Perform routine equipment and room-readiness checks
Support clinical photography and patient documentation workflows
Handle patient information, photographs and communications confidentially and in accordance with applicable privacy requirements
Assist with clinic checklists, SOPs and workflow development
Identify opportunities to improve efficiency, patient experience and administrative processes
Support the implementation of new services and systems as the practice grows
Assist with reception, concierge and other team responsibilities when necessary rather than working within a narrow job boundary
Requirements Essential Applicants must meet all of the following requirements: Singapore Citizen or Permanent Resident
Registered with the Singapore Nursing Board
At least 3 years of relevant nursing experience
Previous experience working in a private specialist plastic surgery and aesthetic clinic
Previous working experience with the Plato clinic management system
Hands-on experience dealing with insurance companies and third-party administrators
Experience preparing and following up LOGs, pre-authorisations and insurance documentation
Experience liaising with private hospitals and/or day surgery facilities
Experience coordinating and booking patients for surgery or procedures
Strong understanding of the administrative requirements surrounding elective surgical patients
Excellent patient communication skills and a warm, professional and reassuring manner
Strong organisational skills and attention to detail
Demonstrated ability to follow multiple outstanding tasks through to completion
Able to multitask, prioritise and remain composed in a busy patient-facing environment
Proactive and resourceful, with initiative and a strong sense of responsibility
Comfortable with computers, digital communication and clinic-management systems
Genuinely collaborative and willing to share responsibilities with colleagues
Good written and spoken English
Appropriate discretion when handling sensitive and confidential patient information

What we offer Working hours: Monday–Friday, 8.30am–5.30pm Saturday, 8.30am–1.00pm Saturday rostering may move to an alternate or rotating model as the team expands.
