*Overview*

The Staffing Coordinator is responsible for the day-to-day coordination of nursing and PSW staff assignments. This includes scheduling staff, responding to staffing requests, arranging replacements, communicating with clients and health care professionals, and maintaining accurate staffing records.

The ideal candidate is an excellent communicator who can work effectively in a fast-paced environment, manage multiple priorities, and respond quickly to last-minute staffing changes.

*Responsibilities*

  • Coordinate daily and ongoing staffing assignments for RNs, RPNs, and PSWs. Match qualified healthcare professional with client and facility staffing requirements
  • Prepare and maintain staff schedules and assignment records
  • Monitor upcoming shifts to identify potential staffing gaps
  • Arrange replacements for sick calls, cancellations, no-shows, and other unexpected absences.
  • Communicate staffing assignments, changes, and instructions to nurses, PSWs, clients and healthcare partners. Confirm staff attendance and shift coverage.
  • Follow up on late arrivals, missed shifts, and other attendance concerns
  • Maintain accurate records of staff availability, qualifications, certifications and assignments.
  • Ensure staff are appropriately matched to client needs, required qualifications and contractual requirements.
  • Assist with urgent and last-minutes staffing requests. Maintain regular communication with Nursing Supervisors, Staffing Supervisors, HR and management.
  • Enter and update staffing information in NHI scheduling and information systems
  • Assist with timesheet and payroll-related verification when required.
  • Track fill rates, cancellations, vacancies and other staffing performance indicators
  • Prepare staffing reports and statistics for management.
  • Ensure all staffing activities comply with company policies privacy requirements, client care standards, and applicable healthcare regulations
  • Provide professional courteous customer service to clients, staff and healthcare partners.
  • Participate in quality improvement initiatives and support the organization?s partners.
  • Participate in quality improvement initiatives and support the organization?s Accreditation Canada requirements.
  • Perform other duties related to staffing coordination as assigned.

*Qualifications*

  • Previous experience in healthcare staffing, scheduling, homecare, long -term care, hospital staffing, or a similar healthcare environment is strongly preferred.
  • Post-secondary education in healthcare administration, business administration, human resources, or a related field is an asset.
  • Experience coordinating RNs, RPNs., PSWs, or other healthcare professionals is preferred.
  • Strong knowledge of healthcare staffing and scheduling practices.
  • Excellent verbal and written communication skills
  • Strong organizational and time-management skills.
  • Ability to prioritize competing demands in a fast-paced encironment.
  • Strong problem-solving and decision-making abilities.
  • Ability to work shifts
  • Excellent computer skills and proficiency with Microsoft Office, including Outlook, Word and Excel.
  • Experience with electronic scheduling, payroll, or healthcare information systems is an asset.
  • Ability to maintain confidentiality and handle sensitive client and employee information appropriately.
  • Strong customer-service orientation
  • Ability to work independently while also functioning effectively as part of the team.
