Public Healthcare Sector | Contract | Singapore

An established organisation within Singapore's public healthcare sector is seeking an experienced Assistant Manager, Office Management & PMO Support to oversee workplace operations while supporting a dynamic project and planning environment.

This is a broad-based role combining office and facilities management, workplace operations, vendor management, procurement, budgeting and project/administrative support .

The successful candidate should be highly organised, hands-on and comfortable independently managing multiple operational priorities and stakeholders.

Key Responsibilities

Office & Facilities Management

  • Plan and coordinate office relocations and new office set-ups , including move-out, reinstatement, renovation, fit-out and move-in activities
  • Ensure offices are fully operational and ready according to project timelines
  • Oversee day-to-day office and facilities operations
  • Coordinate maintenance, repairs and workplace improvement works
  • Manage furniture, utilities, shared amenities and office infrastructure
  • Manage leasing matters, including landlord liaison, lease administration and renewals
  • Oversee pantry and parking administration
  • Coordinate with IT and relevant teams to maintain reliable workplace systems
  • Ensure compliance with workplace safety, health and fire safety requirements

Workplace & Visitor Operations

  • Coordinate workstation provisioning and employee workplace set-up
  • Manage access cards, visitor management and room/resource booking systems
  • Coordinate reception and visitor arrangements
  • Establish and improve workplace processes and workflows
  • Support business continuity and contingency planning for workplace disruptions

Vendor, Procurement & Contract Management

  • Manage contracts relating to office space, facilities services and workplace systems
  • Serve as the key contact for vendors including cleaning, security, maintenance, IT and utilities providers
  • Monitor vendor performance, service standards and contractual compliance
  • Coordinate vendor sourcing, onboarding and procurement activities
  • Manage office assets, equipment and supplies, including inventory and tracking
  • Maintain contracts, records, SOPs and administrative documentation
  • Monitor office expenditure and track spending against approved budgets
  • Support cost planning and financial reporting

PMO, Administrative & Team Support

  • Provide administrative and coordination support to project teams and management
  • Support calendar management, meetings, reports and presentations
  • Coordinate staff onboarding, workspace preparation and offboarding
  • Support employee engagement activities
  • Coordinate meetings, events and hosted stakeholder visits
  • Provide logistical and onsite support where required
  • Support project coordination, reporting and documentation

Requirements

  • Degree in Business Administration, Office Management, Facilities Management, Project Management, Healthcare Administration or related discipline
  • Approximately 3–5 years of relevant experience
  • Experience in corporate office management, facilities coordination, workplace operations, administration or project support
  • Hands-on experience with office relocation and/or new office set-up would be a strong advantage
  • Experience managing vendors, contracts and procurement activities
  • Exposure to budget tracking and operational cost management
  • Strong organisational and project coordination skills
  • Able to independently manage multiple priorities and deadlines
  • Strong stakeholder and vendor management capabilities
  • Good communication and interpersonal skills
  • Proficient in Microsoft Word, Excel, PowerPoint and Outlook
  • Comfortable using digital and AI-enabled productivity tools
  • Healthcare, hospital or institutional experience would be advantageous but is not essential
