Bring your IFA administration experience into a role with more variety, visibility and responsibility.

I'm working with a well-established and growing Financial Planning & Wealth Management business that is opening a new office in Cambridge , and they're looking for an experienced IFA Administrator to become a key part of the new team.

This is not your standard IFA Administrator role .

Around 60% of the position will be focused on financial planning administration , supporting advisers with client work, new business, provider liaison and ongoing servicing.

The remaining 40% will see you become the front-of-house and day-to-day office presence for the new Cambridge office — welcoming clients, preparing meeting rooms, helping manage the office and generally making sure everything runs smoothly.

It's a role with genuine variety and would suit someone who enjoys being part of the wider business rather than simply working behind the scenes.

WHAT WILL YOU BE DOING?

On the financial planning side, you'll be responsible for:

  • Supporting Financial Planners with their client caseloads
  • Processing new business and liaising with pension, investment and insurance providers
  • Preparing suitability reports, letters and other client documentation
  • Preparing Letters of Authority
  • Chasing providers and clients for outstanding information
  • Maintaining accurate client records and ensuring documentation is complete
  • Supporting annual reviews and ongoing client servicing
  • Carrying out relevant research where required
  • Handling client queries and ensuring they receive a professional and timely response
  • Managing multiple cases and ensuring work progresses within agreed timescales

Then there's the other side of the role.

As the main point of contact within the Cambridge office, you'll also:

  • Welcome clients and visitors
  • Prepare meeting rooms for client appointments
  • Organise refreshments and ensure the office is presented professionally
  • Provide reception support for another business sharing the building
  • Manage office supplies, stationery and refreshments
  • Report building or maintenance issues
  • Take meter readings when required
  • Help ensure the office operates smoothly on a day-to-day basis

There are currently expected to be around 5–10 client meetings per week , so this isn't a traditional reception role. It's about being a professional, approachable presence within the office while continuing to deliver high-quality IFA administration.

WHAT ARE WE LOOKING FOR?

You'll need at least two years' experience working within an IFA, Financial Planning or Wealth Management environment , together with a good understanding of the administration involved in supporting advisers and their clients.

You'll ideally have experience of:

  • IFA/Financial Planning administration
  • New business processing
  • Pensions and investments
  • Provider liaison
  • Client documentation and suitability paperwork
  • Managing multiple cases and deadlines
  • CRM systems such as Intelligent Office or similar

But we're also looking for the right personality .

You'll be organised, personable and proactive, with the confidence to deal with clients, providers and colleagues professionally.

You'll enjoy variety, take pride in your work and be the sort of person who notices when something needs doing and gets on with it.

THE OFFICE

The new office is based in Cambridge , with parking available.

You'll initially spend several weeks at the firm's Stansted office completing your training and induction before moving across to Cambridge.

After that, you'll be expected to visit Stansted approximately every 2–4 weeks for team meetings, training and collaboration.

The position is currently intended to be predominantly office-based , given the client-facing and office-management elements of the role. There may be some flexibility to work from home occasionally once the new office is established.

WHAT'S ON OFFER?

£34,000–£40,000 per annum , depending on experience.

This is an excellent opportunity for an experienced IFA Administrator who wants to take on a role with more variety, responsibility and visibility within a growing business .
