Working Hours:

12:00 PM – 8:00 PM 6 days a week (Friday off)

Job Description:

Core Operations & Administrative Duties:

Ensure smooth daily clinic operations, maintaining top-tier efficiency, quality standards, infection control, and medical compliance for an optimal patient experience and high productivity.

Manage shift schedules and rotas for dentists, nursing staff, and receptionists.

Oversee patient flow and actively minimize waiting times.

Manage stock for medical supplies, filling materials, and chemicals, liaising with suppliers to prevent shortages.

Coordinate with external dental labs to ensure timely delivery of prosthetics and restorations.

Staff Management & Communication:

Directly supervise reception and support staff to maintain professional service delivery.

Resolve daily operational issues and emergencies immediately as they arise.

Delegate roles and responsibilities to avoid operational conflicts among teams.

Maintenance & Technology:

Oversee routine maintenance of medical equipment (dental units, X-ray machines, autoclaves, rotary systems, etc.).

Ensure facility standards across reception areas, air conditioning, lighting, and sterilization rooms.

Quality of Service & Patient Records:

Audit patient medical records to ensure complete informed consent forms and accurate treatment plans.

Establish standardized protocols for the overall patient journey and session prep.

Measure patient satisfaction via surveys, managing complaints and analyzing feedback to enhance service quality.

Compliance & Safety:

Ensure full compliance with health regulations, Ministry of Health guidelines, and the Dental Association rules.

Oversee medical waste management and disposal through authorized agencies.

Conduct regular clinical audits to evaluate compliance and correct deficiencies immediately.

Qualifications & Experience:

Education: Bachelor’s degree in Healthcare Management, Business Administration, Dental/Medical Sciences, or a related field.

Experience: 5-10 years of proven experience in operational management, quality control, or healthcare administration (preferably in dental centers or specialized polyclinics).

Technical & Management Skills:

Software Proficiency: Strong hands-on experience with Clinic Management Software (EHR/EMR systems) and MS Office (Excel, Word).

Inventory Control: Solid knowledge of medical stock management, dental equipment, and supply chain coordination.

Compliance: In-depth understanding of Ministry of Health regulations, infection control protocols, and occupational safety standards.

Soft Skills & Competencies:

Leadership & Teamwork: Exceptional team leadership skills with the ability to manage cross-functional teams (doctors, nurses, receptionists).

Problem-Solving: Excellent crisis management, decision-making, and conflict-resolution abilities under high pressure.

Communication: Outstanding interpersonal and patient relation skills.

Languages: Professional working proficiency in both Arabic and English.
