Job Summary We are looking to hire a Caffè Admin who is responsible for purchasing, inventory data, expenses record, supplier coordination, and daily administration. This role works closely with the Supervisor and Caffè Manager to ensure that all Caffè supplies are ordered on time, stock is properly monitored, expenses are controlled, and administrative records are accurate and well organized. The Caffè Admin also supports cost control, weekly & monthly reporting, helping the management team maintain smooth and efficient Caffè operations.

Key Responsibilities Prepare and manage Caffè orders based on operational needs through coordination with the Supervisor and Caffè Manager before placing orders. Monitor daily stock levels of food, beverages, packaging, and Caffè supplies by recording details of incoming and outgoing stock. Conduct regular stock opname. Prepare reorder lists for items that are running low, and ensure all orders are received correctly and on time. Report any missing, damaged, or expired items Monitor wastage and unnecessary purchases to ensure purchasing stays within the Caffè budget. Record daily Caffè expenses, prepare weekly and monthly expenses reports. Collect and organize invoices, receipts, and payment documents. Provide accurate purchasing and expense information to supervisor and Caffè Manager. Communicate with suppliers regarding orders and deliveries and follow up regarding prices & availability. Follow up on pending or delayed orders. Maintain updated supplier and price lists and report for any supplier issues to the Caffè Manager, compare supplier prices when necessary Maintain organized purchasing, inventory, and expense records. Keep all Caffè administrative documents properly filed and updated. Support the Caffè Manager and Supervisor with administrative tasks when needed.

Qualifications

  • Proven work experience of 2-3 years as a Admin Caffè / Restaurant or similar role
  • Proven understanding about POS system conceptually
  • Familiarity with restaurant management
  • Strong motivational and people skills
  • Acute financial and reporting skills
  • Strong in data and filling management
  • Ability to spot gaps and solve problems
  • Be proactive, anticipate issue, and drive the process

Working Hours: 09:00 AM to 17:00 PM, 6 days a week. Location: Seminyak, Kab. Badung, Bali
