White City, London | Hybrid - 3 days in the office | Up to £60,000 + benefits

We're partnering with one of the world's most recognisable and loved premium consumer brands to appoint an exceptional Executive Assistant to Managing Director.

This is a fantastic opportunity for an experienced, highly polished EA who is accustomed to providing high-touch, trusted support to a senior executive and who thrives in a fast-paced, entrepreneurial environment.

The successful candidate may come from a private household, UHNW, family office EA background. What matters most is your ability to anticipate needs, exercise excellent judgement and operate with complete discretion, while managing a complex and constantly evolving workload.

Working closely with the MD, you'll become a genuine right hand, providing proactive support across diary management, travel, meetings, communications and a range of ad hoc priorities. You'll be someone who naturally thinks several steps ahead, understands how the MD likes to operate and takes ownership of making things happen.

This is a role for an EA who enjoys being close to the action, is comfortable with pace and ambiguity, and takes real pride in delivering an exceptionally high standard of support.

What you'll be doing

You'll have a broad and varied remit, including:

  • Managing a complex and fast-moving diary, constantly balancing competing priorities and ensuring the MD's time is used effectively.
  • Anticipating potential clashes, changes and challenges before they arise, proactively identifying solutions and keeping the MD one step ahead.
  • Coordinating senior-level internal and external meetings, including agendas, briefing materials, presentations and follow-up actions.
  • Preparing, formatting and proofreading presentations, reports, correspondence and highly confidential documentation.
  • Taking ownership of complex UK and international travel, including flights, accommodation, visas, transfers and detailed itineraries.
  • Managing last-minute changes and unexpected travel or diary requirements calmly and efficiently.
  • Managing expenses accurately and ensuring all submissions are completed promptly through the company's expense management system.
  • Building trusted relationships with senior stakeholders, colleagues, clients and external partners.
  • Acting as a highly polished and professional gatekeeper, using sound judgement around access, priorities and confidential information.
  • Working closely with the wider EA team to ensure seamless support across the Executive Leadership Team.
  • Supporting the MD with ad hoc personal or business-related requirements where appropriate, using initiative and discretion.
  • Taking ownership of additional projects and initiatives where your organisation, attention to detail and problem-solving skills can add value.

What we're looking for

You'll ideally have experience in one or more of the following environments:

  • Private household / UHNW / family office
  • Founder-led or entrepreneurial businesses
  • C-suite or Executive Leadership Team support
  • High-profile, demanding or fast-paced environments where discretion and anticipation are essential

You'll bring:

  • Exceptional diary management and organisational skills.
  • A natural ability to anticipate needs and think ahead, rather than simply respond to requests.
  • Experience managing complex international travel and detailed itineraries.
  • Excellent judgement and the confidence to make decisions and find solutions independently.
  • The ability to manage multiple priorities without becoming flustered, even when plans change at short notice.
  • Outstanding attention to detail and a consistently high standard of work.
  • Excellent written and verbal communication skills.
  • Advanced Microsoft Office skills, particularly Outlook, PowerPoint and Excel.
  • A highly discreet and professional approach, with the ability to handle sensitive information appropriately.
  • A warm, polished and confident communication style, with the ability to build strong relationships at all levels.
  • A genuine "no task is too small" attitude, combined with the judgement to understand what requires immediate attention and what can wait.

The ideal background

If you've worked in a private household or family office supporting an UHNW individual or family, you're likely to bring many of the qualities that will make you successful in this position: exceptional discretion, meticulous organisation, flexibility and strong logistical skills.

Equally, we'd be interested in candidates who have supported a founder, CEO, MD or other senior executive in a fast-paced, entrepreneurial environment and are accustomed to operating as a trusted right hand.
