Job Responsibilities Administrative Duties Provide general administrative and clerical support to the office and project teams.

Maintain proper filing and documentation of company, project and worker records.

Handle incoming calls, emails, correspondence and general office enquiries.

Prepare letters, reports, quotations, purchase orders and other administrative documents.

Maintain and update employee and worker records, including personal particulars and relevant documents.

Assist with workers’ accommodation, transportation and other administrative arrangements when required.

Monitor office supplies and coordinate purchases of stationery and other office requirements.

Liaise with suppliers, subcontractors, dormitories and other external parties.

Assist in preparing and maintaining documents required for construction projects and site administration.

Perform data entry and maintain accurate records in the company system.

Provide administrative support to management and other departments when required.

Accounts Duties Assist with day-to-day accounting and bookkeeping duties.

Prepare and issue invoices, payment vouchers, receipts and other accounting documents.

Handle Accounts Payable (AP) and Accounts Receivable (AR) documentation.

Check suppliers’ and subcontractors’ invoices against purchase orders, delivery orders and supporting documents.

Assist in processing supplier and subcontractor payments.

Maintain proper filing of invoices, receipts, payment records and other accounting documents.

Monitor outstanding payments and follow up on accounts receivable when required.

Assist with bank reconciliation and petty cash records.

Assist in preparing monthly accounting schedules and reports.

Support payroll preparation, including checking attendance, overtime and other relevant records where required.

Liaise with suppliers and subcontractors regarding invoices, statements and payment matters.

Provide supporting documents to auditors and accountants when required.
