We are supporting a progressive mining company with the appointment of a Projects Administrator for a major mining project in West Africa .
This is a key project support role for an organised and proactive administrator who can provide high-quality coordination, documentation, reporting, and administrative support across a busy project environment.
The successful candidate will work closely with the Project Director and wider project team to ensure project information is well organised, actions are tracked, documentation is controlled, meetings are effectively coordinated, and the project team has the administrative support required to deliver successfully.
Key Responsibilities
- Provide day-to-day administrative and coordination support to the Project Director and wider project team.
- Coordinate project meetings, including scheduling, agendas, meeting packs, minutes, and follow-up actions.
- Maintain project action registers and ensure outstanding actions are followed up with relevant stakeholders.
- Manage project documentation, correspondence, records, filing systems, and document registers.
- Support the preparation and formatting of project reports, presentations, dashboards, and management updates.
- Coordinate calendars, meetings, workshops, site visits, and project-related travel where required.
- Maintain accurate records of key project information, decisions, approvals, and communications.
- Support document control processes and ensure project information is appropriately filed, distributed, and retained.
- Assist with the coordination of contractors, consultants, suppliers, and internal stakeholders where required.
- Track key project deliverables, deadlines, and administrative requirements.
- Support onboarding and mobilisation of project personnel and consultants.
- Assist with purchase requisitions, invoices, expense administration, and other project-related financial administration.
- Maintain contact lists, organisational charts, project directories, and stakeholder information.
- Support project governance processes and ensure required approvals and documentation are captured.
- Help maintain effective communication across multidisciplinary project teams.
- Provide general administrative support to ensure the project office operates efficiently and professionally.
Candidate Profile
- Strong experience in project administration, project coordination, executive support, document control, or similar roles within mining, construction, engineering, infrastructure, or major capital projects.
- Highly organised with the ability to manage multiple priorities, deadlines, meetings, and stakeholders.
- Strong attention to detail and a disciplined approach to documentation and record keeping.
- Experience preparing meeting minutes, action trackers, reports, presentations, and project documentation.
- Confident working with senior project leaders, contractors, consultants, and multidisciplinary teams.
- Strong written and verbal communication skills.
- Proficient in Microsoft Office, including Word, Excel, PowerPoint, Outlook, and Teams.
- Ability to work independently, anticipate requirements, and follow through on actions.
- Comfortable working in a fast-paced project execution environment where priorities can change quickly.
- Previous experience working on mining projects in Africa or other remote/international jurisdictions would be highly advantageous.
Ideal Background
The successful candidate may come from an owner’s project team, EPC/EPCM organisation, engineering consultancy, construction contractor, mining company, or other major project environment.
Experience supporting projects through engineering, construction, commissioning, and ramp-up , particularly within a multidisciplinary project team involving multiple contractors and stakeholders, would be highly relevant.
Experience supporting a Project Director, Project Manager, or senior project leadership team would also be advantageous.

Qualifications/Certifications
- Qualification in Business Administration, Project Management, Office Administration, Engineering Administration, or related discipline preferred.
- Strong experience in project administration, project coordination, executive support, or document control.
- Experience within mining, construction, engineering, EPC/EPCM, infrastructure, or major capital projects preferred.
- Strong Microsoft Office skills, particularly Word, Excel, PowerPoint, Outlook, and Teams.
- Experience using project document management or collaboration systems would be advantageous.
- Excellent organisation, communication, stakeholder management, and attention to detail.
- Ability to handle confidential information professionally and exercise sound judgement.
- Previous international or African mining project experience preferred.
