HR & Administration Executive [WCAN]
1. Recruitment and Talent Acquisition
Manage the full recruitment cycle, including job postings, candidate screening, interview coordination with Heads of Department (HODs), salary negotiations, employment contract preparation, and liaison with recruitment agencies. Coordinate onboarding and orientation programmes for new employees.
2. Work Pass and Regulatory Administration
Manage work pass matters, including Work Permits (WP), S Passes (SP), and Dependant’s Passes (DP), covering applications, renewals, cancellations, and related compliance requirements. Prepare and submit relevant administrative documentation, surveys, and supporting records to the appropriate authorities.
3. Payroll and Statutory Administration
Process monthly payroll using Time Software, including overtime calculations in Excel, medical reimbursements, allowances, and Central Provident Fund (CPF) submissions. Administer Government-Paid Leave (GPL) claims, National Service (NS) make-up pay claims, and eligible foreign worker levy waiver applications.
4. Employee Benefits and Insurance
Administer Work Injury Compensation (WIC) matters and coordinate corporate medical insurance policy renewals. Monitor and maintain employee attendance records, medical certificate (MC) submissions, and No-Pay Leave (NPL) records for employees under probation or awaiting confirmation.
5. Employee Lifecycle and Performance Management
Monitor probation periods and coordinate confirmation appraisals, performance reviews, and probation extensions where applicable. Manage employee offboarding, including resignation and retirement administration, termination documentation, and tax clearance processes. Handle employee relations matters professionally and confidentially, including complex resignation and termination cases.
6. HR Documentation and Records Management
Prepare and issue HR documents, including internal memos, promotion and confirmation letters, probation extension letters, warning letters, and Performance Improvement Plans (PIPs). Maintain accurate, updated, and confidential employee personnel files and HR records. Prepare sponsorship letters, maintain sponsorship records, and track related administrative matters.
7. Training and Employee Welfare
Source and coordinate employee training programmes and course bookings, following up with the Accounts Department on payment processing. Manage the distribution, issuance, and tracking of employee uniforms and safety shoes.
8. General Administration and Company Support
Maintain the company organisation chart, staff telephone directory, and other internal administrative records. Coordinate company transportation arrangements and follow up on related payments. Support the organising committee in planning and coordinating the annual Dinner and Dance (D&D) event held in April. Assist with the annual company stocktaking exercise conducted on a Friday in July.
