*Job Summary*

We are seeking a proactive and highly organized Executive Assistant to support our leadership team. This dynamic role requires a detail-oriented professional who thrives in a fast-paced environment, excels at managing multiple priorities, and demonstrates exceptional communication skills. The Executive Assistant will serve as a vital point of contact, ensuring smooth daily operations, coordinating schedules, and handling administrative tasks with precision. *Duties*

  • Manage and maintain the executive?s calendar using Microsoft Outlook Calendar, scheduling meetings, appointments, and travel arrangements efficiently.
  • Handle incoming calls with professionalism and courtesy, utilizing multi-line phone systems and practicing excellent phone etiquette.
  • Prepare, proofread, and edit correspondence, reports, presentations, and other documents to ensure accuracy and clarity.
  • Organize and maintain filing systems?both physical and digital?using Google Workspace and Microsoft Office tools for easy retrieval.
  • Perform data entry tasks with high accuracy into QuickBooks for bookkeeping purposes and other financial records.
  • Coordinate meetings by preparing agendas, taking minutes, and distributing materials in a timely manner.
  • Assist with front desk responsibilities including greeting visitors, managing office supplies, and supporting overall office operations.

*Requirements*

  • Proven clerical experience with strong organizational skills in an office environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
  • Experience with QuickBooks accounting software and basic bookkeeping practices.
  • Excellent typing skills with high accuracy for data entry tasks.
  • Demonstrated ability to manage multiple priorities simultaneously while maintaining attention to detail.
  • Strong communication skills with professional phone etiquette and customer service orientation.
  • Familiarity with multi-line phone systems, filing procedures, proofreading standards, and office procedures such as DocuSign for electronic signatures.
  • Previous administrative or office experience supporting executives or teams is preferred; office experience is essential.

Pay: $15.00-$20.00 per hour
