Vivo Cura Health is a growing multidisciplinary healthcare clinic providing specialized musculoskeletal, pain, rehabilitation, diagnostic, and procedural care. We are seeking an organized, personable, and detail-oriented HR & Administrative Coordinator to support the people and administrative processes that keep our team running smoothly.

This casual or part-time position is anticipated to require approximately two to three days per week on average, with the opportunity to grow into a permanent part-time role as the clinic continues to expand.

*The Role*

The HR & Administrative Coordinator will support the employee lifecycle?from recruitment and onboarding through ongoing staff administration and offboarding?while assisting with payroll and benefits administration. This is a practical, hands-on coordination role that works closely with clinic leadership, department leads, and staff.

The position is primarily focused on HR administration and coordination. More complex employee-relations matters, including discipline, investigations, and performance-management decisions, remain the responsibility of clinic leadership and external HR support as appropriate. There may be opportunities to grow into broader HR responsibilities over time for the right candidate.

*Key Responsibilities*

  • Review, follow up on, and lock employee timesheets in preparation for payroll
  • Become familiar with the Employee Handbook and respond to routine staff questions related to clinic policies, timesheets, payroll administration, onboarding, and employment documentation
  • Administer the employee benefits plan, including maintaining documentation, coordinating enrolment and onboarding, communicating plan changes, answering employee questions, and providing benefits-plan education
  • Prepare and post job advertisements and assist with recruitment coordination
  • Review applications, conduct preliminary candidate interviews, and coordinate interviews with hiring managers
  • Support onboarding by coordinating paperwork, checklists, benefits enrolment, system-access requests, orientation items, and required documentation
  • Coordinate offboarding tasks, including documentation, benefits-related follow-up, access-removal requests, and required follow-up
  • Maintain organized and confidential employee files, records, and HR administration materials
  • Coordinate 90-day and annual performance-review processes
  • Track required employee documents, credentials, training, benefits documentation, and renewal dates where applicable
  • Identify opportunities to improve and standardize HR and administrative workflows as the clinic grows
  • Assist with internal staff communications and other administrative projects as needed

*What We?re Looking For*

  • Previous experience in HR administration, office administration, payroll coordination, benefits administration, recruitment, or a similar role
  • Strong organizational skills and excellent attention to detail
  • Comfort managing multiple deadlines, follow-ups, and confidential information
  • Clear, professional, and friendly written and verbal communication skills
  • Ability to work independently while knowing when to seek direction
  • Confidence using Google Workspace, spreadsheets, and common office software; experience with payroll, benefits, or HR systems is an asset
  • Experience in a healthcare, professional-services, or similarly fast-paced environment is an asset
  • Formal HR education is welcomed but not required; practical administrative and people-operations experience is highly valued
