Program Support Assistant-Behavioral Health Service
The position serves as the Program Support Assistant for Amarillo Behavioral Health Service and serves under the direct supervision of the Administrative Officer. In this capacity, he/she provides a wide range of administrative management duties.
Major duties
The position must independently plan and carry out assignments vital to Behavioral Health Service operations and management of personnel. The incumbent will receive assignments and instructions and is expected to complete work which will be assessed by leadership. The PSA plays a vital role in supporting the Chief and operations of Behavioral Health Service. Behavioral Health Administrative Support: Time, Attendance, and Invoice Verification and Tracking Acts as Behavioral Health Service Timekeeper, which includes maintaining all timecards for Behavioral Health on a daily basis. This requires specialized knowledge of timekeeping rules and regulations regarding timekeeping for all full-time employees. Keeping correct records for management of all employees' payroll information. Incumbent is responsible for Completes all audits necessary from Fiscal Service. He/she will abide by the timekeeping rules and regulations set forth by the VA Healthcare System Payroll Office, DFAS, FSC and reports discrepancies to the supervisor. The Incumbent serves as the focal point for orientation of newly assigned employees, to include coordinating clinic schedules, scheduling training, clinic policies, issuing keys, establishing schedules and timecards. Provides continual support, maintaining service record cards, process requests for personal actions and those related to time and attendance, training, leave, etc. as necessary for the office and personnel operations and as required by AMAVHCS. Ensures personnel and physical data are entered accurately in the applicable VA system. Maintains current record of leave scheduled for professional staff and coordinates with scheduling staff to ensure patients are not affected. The incumbent will apply policies and procedures to assist physicians, nursing staff, and other personnel in understanding and using the systems. Behavioral Health Administration Support: Agendas and Minute Taking Coordinates meetings by ensuring invitations are distributed to those required participants, prepares and publishes agendas and serves as the recorder by taking minutes. Must be fully cognizant of VA procedures for preparation and clearance of correspondence and action documents and advise others within the clinic for such procedures to ensure accuracy and compliance with VA policies and regulations. Coordinate meetings, training, schedules special for clinical personnel. Administrative duties include the upkeep of service line agreements, and service policies, preparation of clinic activations, modifications, deactivations, and routing of clinic cancellation forms. Ensure updates to emergency cascade rosters and the emergency and safety plan. Work Schedule: Monday to Friday 7:30am to 4:00pm Telework: This position may be authorized for AD-HOC telework. Telework eligibility will be discussed during the interview process. AD-HOC (Employees who telework on an occasional, episodic, or short-term basis, and have completed required telework training and telework agreement.) Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 10/13/2026. You may qualify based on your experience as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: knowledge of standard procedures to support department, experience extracting information from various sources, ability to communicate, both orally and in writing, to present proposals, recommendations, status reports, concerns, policies and procedures, etc. to service management, experience preparation of correspondences, experience maintaining time cards, knowledge of timekeeping rules and regulation, maintaining records, experience coordinating meetings.
