Medical Administration Special
This position serves as the Medical Administration Specialist for the Business Administration Service within the VA Health Care System with administrative responsibility, accountability and oversight for Business Administration Service programs and activities.
Major duties
The incumbent serves as the Supervisory Medical Administration Specialist (Inpatient) within the Business Administration Service located in the Department of Veterans Affairs Southern Nevada Health Care System (VASNHS). Duties include: Plan and assign work to subordinates based on priorities, selective consideration of the difficulty and requirements of assignments, and the capabilities of employees. Advise, counsel or instruct to employee on both work and administrative matters. Hear and resolve complaints from employees, referring group grievances and more serious unresolved complaints to a higher-level supervisor or manager. Establish, adjust work priorities and evaluate work performance. Monitor amount, accuracy and timeliness of production of work. Review and recommend serious disciplinary actions. Identify developmental and training needs of employees, providing or arranging for needed development and training The incumbent will be the direct supervisor for staff consisting of two GS-7 Lead Medical Support Assistants and 23 GS-5 Medical Support Assistants. The incumbent will be required to be available for rotating shifts, weekends and holidays since some of their staff members are required to work these schedules. Responsible for the oversight of outpatient scheduling functions that directly impact patients' access to care and satisfaction. The incumbent must have thorough knowledge of all aspects of enrollment and eligibility, beneficiary travel, outpatient clinic flow Interview candidates for positions in the unit; recommends appointment, promotion, or reassignment to such positions. Makes routine contact with a variety of individuals including physicians, nurses, technical support staff, Veteran patients, and families of patients, and Veteran Service Officers. Maintains contact with clinical personnel and other staff in various clinic settings to resolve delays and misunderstandings in the medical administrative aspects of providing medical care. Intervenes and resolves disputes between the Veteran and other staff Applies comprehensive knowledge of eligibility requirements including completion of means test, beneficiary travel, and other entitlement programs. Reviews work in progress or upon completion and spot checks work as deemed necessary to assess the quality and quantity of work produced by each employee. Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 10/2/2026. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-09 position you must have served 52 weeks at the GS-07.The grade may have been in any occupation but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.You may qualify based on your experience and/or education as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-9 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include: Experience analytical, and quantitative problem solving and analysis. Experience in medical center and healthcare administrative principles, theories, and practices, as well as skill in applying this to program administration, and administration, and quality/production goals. OR, Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have Master's or equivalent graduate level degree; or Two (2) full years of progressively higher-level graduate education leading to such a degree; or LL.B or J.D, in a related field that meets the requirements for GS-09. OR, (NOTE: Transcripts with degree confer date must be submitted with the application. Education cannot be credited without documentation). Combination: Applicants may also combine education and experience to qualify at this level. You must have a combination of specialized experience and graduate level education. Combinations of successfully completed post-high school education and experience may be used to meet total qualifications requirements for grade levels specified in the table and may be computed by first determining the applicant's total qualifying experience as a percentage of the experience required for the grade level; then determining the applicant's education as a percentage of the education required for the grade level; and then adding the two percentages. The total percentages must equal at least 100 percent to qualify an applicant for that grade level. Only graduate education in excess of the amount required for the next lower grade level may be used to qualify applicants for positions at grades GS-9. (When crediting education that requires specific course work, prorate the number of hours of related courses required as a proportion of the total education to be used.) Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities.
