Assistant Registrar - Full Time
Qualifications & Experience:
- Must have a Master’s degree from a recognized institution of higher learning.
- A Bachelor’s degree from a recognized institution of higher learning.
- A minimum of three (3) years’ work experience performing similar tasks in a busy academic office.
- Working knowledge of national academic policies and NCHE guidelines.
- Ability to use ICT and e-Learning resources.
- Availability to work extended hours and weekends.
- Experience or demonstrated ability to write minutes and management reports.
- Demonstrated service to the University and excellent track record of customer satisfaction from both internal and external clients.
- A committed and a practicing Christian.
Main duties and responsibilities:
- Monitoring and coordinating the admissions and registration of students
- Liaising with Heads of Departments to plan and coordinate curriculum development for all programmes and courses taught at the university.
- Ensuring that all students admitted at the university have necessary qualifications
- Implementing academic policies and procedures approved by the Senate.
- Maintaining all records pertaining to each student and a data bank for all results for university students.
- Liaising with various faculty heads regarding to teaching staff, students’ performance and information on different programs.
- Ensuring that only students who have cleared their fees receive examination cards.
- Coordinating the marking of examinations and making arrangements for external examination
- Arranging for graduation ceremonies for all students.
- Providing secretarial services to the college academic bodies and ensuring that all results are approved by senate before they are released.
- Provide accurate, confidential and ethical academic administration services; demonstrate integrity, stewardship and fairness in handling student records.
- Maintaining student query and complaint logs, provide academic process guidance, track progression risks, at risk students and graduation readiness.
- Verify registration, course enrollment, class lists and programme records, maintain missing marks trackers, prepare Results Board documentation and Faculty Board extracts and track Alpha sign off.
- Work with the faculty Dean, Associate Dean, HODs, Administrative Assistants, central registrars, QA, examinations and ICT and provide evidence needed for decision-making.
- Maintain secure records and version control, escalate missing marks, unverified results and incomplete documentation.
- Performing any other official duties assigned by the Director from time to time.
