ADMINISTRATIVE SUPPORT SPECIALIST

The primary purpose of this position is: To serve as the Administrative Support Specialist for the Commander, 779 Medical Wing, responsible for the function and activities of the organization.
Major duties
Serves as 779 Medical Wing workflow manager to include workload received through email, meetings, the Task Management Tool (TMT) and various other correspondence. Review, analyze, process and coordinates all incoming and outgoing correspondence, reports, and other materials submitted for the Commander's review and signature. Provides written communication using multiple office automation software with varied functions to produce a wide range of documents that often require complex formats such as graphics or tables, editing and reformatting electronic drafts and updating existing databases or spreadsheets. Functions as the primary ATAAPS timekeeper. Travel/TDY arrangements: Independently makes travel arrangements in Defense Travel System (DTS) based on general information and guidance from the Commander. Performs other clerical and administrative work in support of the office/organization. Facilitates senior leader meetings and appointments that involve a wide range of Air Force, Department of Defense, Health Affairs, Congressional, and numerous external Health Care and business activities
Qualifications
In order to qualify, you must meet the specialized experience requirements described in the Office of Personnel Management (OPM) Qualification Standards for General Schedule Positions, Administrative and Management Positions. SPECIALIZED EXPERIENCE: Applicants must have at least one (1) year of specialized experience at the next lower grade GS-07, or equivalent in other pay systems. Examples of specialized experience includes:
- Working with standardized administrative practices and procedures to conduct studies of clerical work processes in various organizations to identify, analyze, and recommend solutions to problems in organizational structure, staffing, administrative procedures, work processes, or workload distribution;
- Working with staff operations and practices related to the management of healthcare delivery and medical readiness to include policies, procedures, and operations on the organization;
- Working with rules and guidelines in tasking, processing, performing quality control and appropriate records and archiving executive correspondence in support of senior leadership.
OR EDUCATION: Master's or equivalent graduate degree or 2 full years of progressively higher level graduate education leading to such a degree which demonstrates the knowledge, skills, and abilities necessary to do the work of the position. NOTE: You must submit a copy of transcripts OR COMBINATION OF EXPERIENCE AND EDUCATION: A combination of education and experience may be used to qualify for this position as long as the computed percentage of the requirements is at least 100%. FEDERAL TIME-IN-GRADE (TIG) REQUIREMENT FOR GENERAL SCHEDULE (GS) POSITIONS: Merit promotion applicants must meet applicable time-in-grade requirements to be considered eligible. One year at the GS-07 level is required to meet the time-in-grade requirements for the GS-09 level. TIG applies if you are in a current GS position or held a GS position within the previous 52 weeks. NOTE: Applicants applying as VEOA candidates who are current GS civil service employees or are prior GS civil service employees within the past 52 weeks must also meet time-in-grade requirements. KNOWLEDGE, SKILLS AND ABILITIES (KSAs): Your qualifications will be evaluated on the basis of your level of knowledge, skills, abilities and/or competencies in the following areas: Knowledge of staff operations and practices related to the management of healthcare delivery and medical readiness to include policies, procedures, and operations on the organization and policies of the Air Force, Air Force Medical Service, Air Force Surgeon General, MAJCOM Surgeons and MTFs. Knowledge of rules and guidelines in tasking, processing, performing quality control and appropriate records and archiving executive correspondence in support of Air Force senior leadership. Skill to effectively communicate both orally and in writing to gather information, present recommendations and gain cooperation from others through tact, courtesy and diplomacy. Skill in grammar, writing, editing practices and style requirements in preparation of written and oral presentations. Good interpersonal and team building skills and ability to foster effective working relationships. Skill and ability in using automated data processing functions, techniques, and capabilities to determine appropriate media for completing requirements of the fundamental capabilities and limitations of a variety of computers, computer network systems, and programs; as well as computer-related software and hardware in order to test, install, upgrade, configure, diagnose, and maintain proper functionality. Ability in preparing reports based on studies and analyses and providing metrics, reports and other information to senior leadership and external agencies. Ability to independently exercise initiatives, judgement, problem solving, decision making, identifying problems; analyze data, make recommendations, plan, and organize work to meet deadlines. PART-TIME OR UNPAID EXPERIENCE: Credit will be given for appropriate unpaid and or part-time work. You must clearly identify the duties and responsibilities in each position held and the total number of hours per week. VOLUNTEER WORK EXPERIENCE: Refers to paid and unpaid experience, including volunteer work done through National Service Programs (i.e., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community; student and social). Volunteer work helps build critical competencies, knowledge and skills that can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
