RESPONSIBILITIES

  • Oversee general office administration and day-to-day operations to ensure an organized, efficient and well-functioning workplace.
  • Manage office facilities, maintenance, repairs, supplies and workplace requirements, including coordination with building management, contractors and service providers and follow-through on outstanding matters.
  • Provide basic IT and technology support, including equipment setup and minor troubleshooting, and liaise with external IT support where required.
  • Manage office equipment, assets, inventory and related records, ensuring proper maintenance and availability.
  • Prepare and format presentations, reports, documents and other business materials to a professional standard.
  • Coordinate meetings, internal arrangements, office events and logistical requirements, and manage administrative documentation, filing, records and invoices.
  • Provide concierge and lifestyle support to family members, including coordination of personal errands, deliveries, appointments and other day-to-day requirements.
  • Coordinate residential property and vehicle matters, including maintenance scheduling, repairs, vendor management and follow-up on outstanding matters.
  • Support ad hoc administrative and operational projects according to business requirements while maintaining appropriate confidentiality and discretion in handling company, management and family matters.

REQUIREMENTS

  • Degree in Business Administration, Office Management or a related discipline, with relevant experience in office administration, facilities management or operational support.
  • Strong organizational and coordination skills, with the ability to manage multiple priorities, work independently and follow matters through to completion.
  • Proficient in Microsoft Office, particularly PowerPoint, Word and Excel, with the ability to prepare polished and professional presentations and documents.
  • Resourceful, practical and hands-on, with good problem-solving ability and confidence in handling day-to-day office, facilities and basic technology matters.
  • Strong interpersonal and communication skills, with sound judgement, attention to detail and a high level of discretion when dealing with management, family members, vendors and confidential matters.
