Document Specialist

Booking & carrier coordination Request, compare and confirm bookings with shipping lines and forwarders against the required ETD, route and equipment

Manage all cut-offs: SI, VGM, CY, documentation; escalate roll-overs, equipment shortages and schedule changes early

Follow up daily with lines, forwarders, trucking and terminals until containers are gated in and loaded

Export documentation Register shipments on Nafeza / ACI and obtain ACID and UCR numbers; coordinate export declarations with the customs broker

Prepare and issue Shipping Instructions, Commercial Invoice, Packing List and Marks & Numbers per shipment reference

Verify draft B/L and confirm final B/L; arrange telex release, seaway bill or original set as instructed

Arrange Certificate of Origin, chamber of commerce and consular legalization, fumigation, COA and other certificates required per destination

Prepare and check L/C document sets against credit terms (UCP 600), present to the bank, and resolve discrepancies

Order control & reporting Maintain the shipment master file per order reference: ETD/ETA, container and weight data, VGM, document status

Keep TLD Vietnam HQ and the sales team updated on every shipment's status without being asked

Cross-check freight, trucking and handling invoices against agreed rates before passing them to accounting

Monitor free time, demurrage and detention exposure and flag it before it becomes a cost

Requirements Bachelor's degree in Logistics, International Trade, Business or a related field

3–5 years of hands-on export documentation experience with an exporter, freight forwarder or shipping line in Egypt

Practical, current experience with Nafeza / ACI, CargoX and Egyptian export customs procedures

Solid documentary L/C experience: able to build a clean presentation and handle discrepancies independently

Professional written and spoken English — daily correspondence with HQ and overseas customers; Arabic native

Strong Excel skills and genuine attention to detail; comfortable handling 20+ shipments per month

Proactive follow-up discipline: closes items rather than reporting them, escalates early, responds within the working day

Preferred Direct working contacts at MSC, CMA CGM, Maersk, Hapag-Lloyd or similar

Experience with bulk or bagged industrial commodities (minerals, cement, chemicals, agri)

Familiarity with Latin America and India trade lanes, and with Alexandria, Damietta and Ain Sokhna / SCZONE ports
